Job Title:
Office Administrator Summary:
Stillpoint Family Chiropractic is a corporation with a team of two individuals (the Doctor and the Office Administrator), and therefore clear and professional communication skills are essential. The employee/employer relationship is unique in that the success of each workday is highly dependent upon them both promoting a favorable and cooperative working environment, and balancing independent responsibilities as well as working as a team. We are looking for an energetic, diligent, and creative applicant with a willingness to learn, and enthusiasm for helping others. The ideal candidate will have an awareness for maximizing productivity and effectiveness, and for creating an excellent patient experience from beginning to end. Both the Doctor and the Office Administrator carry out a wide range of tasks, and are expected to adapt to the corresponding needs and pace of various jobs. It's expected that the Office Administrator will succeed if they are proactive, flexible, organized, and efficient. The role of Office Administrator assumes the typical responsibilities of a Receptionist and a Chiropractic Assistant primarily, but is also expected to manage basic Internal Marketing (see below for further details), and basic House Cleaning. Furthermore, Stillpoint Family Chiropractic maintains a holistic approach to all facets of care, which includes making genuine and compassionate relationships with our patients of today and tomorrow.Outline of Responsibilities:
The primary responsibilities of the Office Administrator include:- Overseeing daily activities
- Greeting patients
- Answering the phone
- scheduling appointments
- preserving patient confidentiality at all times
- collecting fees for services
- reconciling daily receipts
- maintaining inventory
- verifying insurance coverage
- reviewing the mail
- basic housekeeping The secondary responsibilities of the Office Administer include:
- Enacting Patient Contingency Plans (rescheduling missed appointments, ensuring exams and re-exams are maintained, contacting outside help as needed and directed by Dr Pennella).
- Coordinating with the Wellness Staff (which includes Dr. Pennella and independently contracted Massage Therapists) to maximize scheduling and to utilize our supplemental healing resources.
- Prepare treatment rooms for clinical examinations, and assist Dr. Pennella with Patient Reports.
- Promoting retail products and developing internal marketing strategies for supplements, classes, wellness concepts, etc
- Assist with office presentations and wellness classes (more details below)
Skills Needed:

- Basic working knowledge of Microsoft Office 365 is essential
- Awareness for SEO performance, Google Listings, and maintaining a social media presence through Facebook/Instagram is preferred.
- Proficiency in scheduling software preferred

- General interest in a healthy lifestyle Expected Hours of work: Full-Time position; open to sharing the position with another employee for two part-time positions.
Monday / Wednesday
8:00 AM - 6:30 PM Tuesday 10:00 AM to 7:00 PMCLOSED THURSDAYS
Friday 7:00 AM to 4:30 PM In the first three months of employment, Thursdays will be scheduled for training exclusively. Once the training period has concluded, Thursdays are off. Patient education classes are held in the office twice per month on Wednesday evenings; staff attendance is expected. Other patient-education classes may be scheduled which will require attendance and assistance with setup (typically no more than once per month). Out-of-office training is scheduled 1-2 times per year. This training is generally out-of-state and overnight, and therefore travel is required. Travel expenses, cost of classes, and meals are covered by the office, and regular hourly compensation is offered during class times.Behavioral Expectations:

- Keep immediate superior informed, promptly and fully, of all problems or unusual matters of significance, and take prompt corrective action when necessary.
- Ensure compliance with all federal, state and local laws and regulations including but not limited to OSHA and HIPAA compliance.
- Perform all duties and responsibilities in a timely and effective manner, with minimal supervision.
Environment:
The role operates in an indoor, professional office environment. It is somewhat fast-paced, and routinely uses standard office equipment such as computers, phones, credit card machine, printer, digital and physical filing systems, fax machines, and scanners.Physical Demands:
The employee is regularly required to talk and hear. The employee utilizes a stand-up desk (with an anti-fatigue mat) and is frequently required to walk, use hands/fingers, and feel, reach with hands and arms, bend, and stand on a stool as necessary.Note:
