Position Overview We are seeking an experienced Office Manager with strong QuickBooks expertise to oversee daily administrative operations and support business efficiency across departments. This role requires a highly organized, proactive professional with 5+ years of office management experience and at least 5 years of hands-on QuickBooks experience . The ideal candidate thrives in a fast-paced environment, can manage multiple responsibilities independently, and is comfortable wearing multiple hats. The Office Manager will report directly to the President and Operations Manager and will play a key role in supporting business operations, financial tracking, inventory updates, and customer coordination.
Key Responsibilities:
Oversee and coordinate daily office operations to ensure efficiency and organization Develop and streamline administrative and operational procedures and office workflows. Manage vendor relationships including service providers, facility vendors, and building management Coordinate meetings, schedules, and appointments for the President Maintain office filing systems, supplies, and administrative processes Address employee questions related to office procedures and equipment Accounting & QuickBooks Management Maintain financial records using QuickBooks Enter invoices and process customer payments Update product inventory and pricing in QuickBooks Prepare financial and administrative reports including: Sales reports Accounts receivable and accounts payable Credit card receipts Bank deposits Customer & Sales Support Communicate with customers regarding product details, pricing, and services Assist customers with orders and coordinate delivery logistics Support order processing and inventory tracking Business Support & Marketing Assist with marketing and outreach campaigns Update and manage product listings on company websites Add and update products across vendor portals Support development of business documents and reports for leadership Team & Office Coordination Assist with staff recruitment, onboarding, and office coordination Support team communication and office organization Manage special projects and administrative initiatives as assigned Qualifications Required 5+ years of Office Management experience 5+ years of QuickBooks / bookkeeping experience Strong understanding of office management procedures Excellent organizational and multitasking skills Strong communication and customer service abilities Ability to work independently and manage multiple priorities Associate degree required Preferred Bachelor's degree (B.A. or B.S.) Experience with CRM software or Microsoft Business Dynamics Familiarity with project management tools Knowledge of social media platforms (Facebook, LinkedIn, etc.) Experience managing inventory systems or product catalogs Benefits Health Insurance Dental Insurance Vision Insurance Life Insurance Paid Time Off SEP IRA Retirement Plan
