We are seeking a detail-oriented and proactive Site Office Administrator to support daily site operations and certified payroll compliance for our construction project. This role is responsible for coordinating site administration, maintaining accurate employee and payroll records, supporting vendors and employees, and ensuring required compliance documentation is completed on time. Responsibilities Certified Payroll & Compliance Prepare and submit weekly certified payroll reports through LCPtracker by project deadlines. Set up and maintain employee records, including trade classifications, wage rates, fringe benefits, and supporting payroll documentation. Review payroll data against applicable prevailing wage determinations before submission. Address compliance items identified by the general contractor or owner and coordinate corrections as needed. Track apprenticeship participation and ratio requirements when applicable. Keep organized records of payroll backup, Statements of Compliance, and related documents for audit Coordinate with internal payroll and HR teams, as well as lower-tier subcontractors, to resolve missing or inaccurate information. General Administration Manage office supplies, PPE inventory, and equipment purchases Maintain office snacks and refreshments, and coordinate drinking water delivery and supply for the office and site trailer. Oversee site office trailer operations, including setup, maintenance, cleaning, and related vendor coordination Support employee housing coordination, including leases, utilities, move-ins, move-outs, and maintenance requests. Assist newly arrived expatriate employees with onboarding and settlement-related needs, including support with Social Security Number applications, driver's license applications, and bank account setup. Coordinate company vehicle and rental needs, including reservations, registration, insurance, maintenance, and returns. Qualifications Required Two or more years of experience in office administration, payroll, or construction administration. Working knowledge of certified payroll and prevailing-wage requirements, including Davis-Bacon or state prevailing wage requirements. Proficiency with Microsoft Office, especially Excel. Strong attention to detail, organization, and ability to meet weekly deadlines. Clear written and verbal communication skills. Preferred Hands-on experience with LCP tracker Experience in industrial or commercial construction Familiarity with basic HR onboarding and employment documentation Employment Details and Benefits Full-time, at-will position. 90-day introductory (probationary) period. Five- or six-day workweek, depending on the project schedule. Standard work hours are 8 hours per day, typically 7:00 AM-4:00 PM or 8:00 AM-5:00 PM, depending on site needs. Overtime opportunities may be available based on project needs and will be paid in accordance with applicable law.
