Our business operates in a fast-paced environment where accuracy, accountability, communication, and follow-through matter . Every department plays an important role in delivering the level of service our customers expect. We are looking for someone who understands that strong administrative processes are an important part of a successful operation. About the Position Fast Fulfillment is seeking a highly organized, detail-oriented, and accountable Office & Administration Manager to oversee key administrative functions that keep our business operating efficiently. This position will have responsibility for payroll administration, office and non-inventory purchasing, vendor coordination, freight auditing, employee onboarding, and accounting support . The ideal candidate is someone who takes ownership, works well independently, catches details others may miss, and can effectively manage multiple priorities in a fast-paced operational environment. This is an important role within the organization and will work closely with company leadership, department managers, employees, carriers, vendors, and other business partners. We are not looking for someone who simply waits for the next task. We are looking for someone who sees what needs to be done, takes ownership, and follows it through to completion.   • Understand that administrative accuracy directly impacts the company's employees, operations, and customers.

Key Responsibilities:
Payroll & Employee Administration
  • Manage the company's payroll process, including collecting and verifying timekeeping information and ensuring payroll is processed accurately and on time.
  • Maintain accurate employee records and assist with payroll-related questions and issues.
  • Coordinate new employee onboarding, including required paperwork, system setup, company policies, and coordination with department managers.
  • Maintain employee information and administrative documentation.
  • Assist company leadership with employee-related administrative needs and projects.
  • Maintain confidentiality when handling payroll and employee information. Office & Non-Inventory Purchasing
  • Manage the purchasing and inventory of office, warehouse, safety, and other non-inventory supplies.
  • Monitor supply levels and establish appropriate reorder points.
  • Coordinate purchasing to ensure supplies are available when needed while controlling unnecessary spending.
  • Maintain relationships with office, facility, and service vendors.
  • Obtain quotes, coordinate orders, track purchases, and assist with vendor negotiations when appropriate.
  • Identify opportunities to improve purchasing processes and control costs.
  • Ensure recurring services, supplies, and vendor needs are proactively managed. Freight Auditing
  • Review freight invoices for accuracy and compliance with contracted or agreed-upon rates and charges.
  • Identify billing discrepancies, accessorial charges, duplicate charges, incorrect rates, and other billing errors.
  • Work with carriers and internal team members to resolve discrepancies and obtain credits when appropriate.
  • Maintain organized reporting and documentation related to freight spend, discrepancies, and audit results.
  • Identify recurring billing issues and communicate opportunities for improvement to leadership. Accounting & Administrative Support
  • Assist with QuickBooks-related activities, including transaction review, coding, reconciliations, and other administrative accounting functions as needed.
  • Support leadership with financial, administrative, and operational reporting.
  • Maintain organized records and documentation for administrative and financial processes.
  • Assist with accounts payable and other accounting-support functions as assigned.
  • Support other administrative projects and responsibilities as the needs of the business evolve. Qualifications & Skills Required
  • 3+ years of experience in office administration, payroll, accounting support, or a similar role.
  • Hands-on experience with a payroll system.
  • Experience using QuickBooks .
  • Strong Microsoft Excel skills.
  • Exceptional attention to detail and accuracy.
  • Strong organizational and time-management skills.
  • Ability to manage multiple priorities and meet deadlines.
  • Strong written and verbal communication skills.
  • Ability to work independently and take ownership of assigned responsibilities.
  • Strong problem-solving skills and sound judgment.
  • Ability to maintain confidentiality when handling payroll and employee information. Preferred
  • Experience working in a warehouse, logistics, fulfillment, manufacturing, or other operational environment .
  • Experience with freight billing or freight auditing.
  • Experience managing vendors and purchasing.
  • Experience with timekeeping, HR, or employee management systems.
  • Experience working in a fast-paced, growing organization.

  • Freight invoices are consistently reviewed and audited for accuracy.
  • Billing discrepancies are identified, resolved, and documented.
  • QuickBooks and administrative accounting activities are completed accurately.
  • Important administrative responsibilities don't fall through the cracks.
  • Leadership has confidence that administrative responsibilities are being handled without constant follow-up.
