Job Description

Job Summary We're looking for a Customer Service Representative & Office Administrator to be the friendly, reliable front line of our Wichita branch. You're the first voice customers hear when they call, the first face they see when they walk in — and behind the scenes, you're the person keeping the office running smoothly so our technicians can stay focused on the work. This is primarily a customer service role. We need someone who's warm, energetic, and genuinely enjoys helping people. You'll spend most of your day answering phones, greeting customers, and making sure every person who contacts us feels heard, helped, and confident we've got them covered. You'll also handle billing, payments, and day-to-day office tasks — processing invoices, entering payments, making bank deposits, managing the mail, and coordinating with vendors — the kind of work that keeps a small branch humming. No locksmith or security industry experience is needed. If you're the kind of person who lights up a room, keeps things organized, and treats every customer like they matter — we want to talk to you. We'll teach you the rest. Responsibilities Customer Service (Primary) Answer incoming calls with a warm, consistent greeting — you're the voice of Central Key & Safe Help customers identify what they need, answer questions, and set clear expectations about our services Be empathetic, patient, and reassuring — even when the customer is stressed, locked out, or frustrated, they should feel confident we're going to take care of them Schedule service calls and coordinate with our dispatch team in Phoenix Follow up on open estimates and customer inquiries Greet and assist walk-in customers at the front counter Billing, Payments & Financial Administration Process invoices and review billing for accuracy in coordination with our accounting team Enter payments into ServiceTitan — including cash, check, and credit card payments Apply credit card payments received via email Count and reconcile cash daily, and make bank deposits Run and process checks each day Support basic bookkeeping entries in QuickBooks as needed Handle purchase orders and manage vendor invoices Office Administration Manage incoming and outgoing mail Monitor and respond to the branch email inbox Order office supplies and ensure the team has what they need to do their jobs Work with vendors to collect and maintain certificates of insurance (COIs) and W-9 forms Help onboard new team members with paperwork and office orientation Learn and use ServiceTitan, our field-service management platform, to manage workflows (full training provided) Qualifications Energetic, positive, and genuinely friendly — people can hear you smile through the phone A natural communicator who makes customers feel valued and at ease Organized and detail-oriented — you can juggle phones, paperwork, and walk-ins without dropping the ball Comfortable with technology — you'll be learning new software and using it daily Reliable and self-motivated — you don't need someone hovering to get things done Previous customer service or front-office experience preferred, but not required Comfortable handling cash, checks, and credit card payments with accuracy and integrity Familiarity with invoicing, billing, or basic bookkeeping is a plus — QuickBooks experience is a bonus Benefits ✓ Health insurance ✓ Dental insurance ✓ Vision insurance ✓ 401(k) with company matching ✓ Flexible spending account ✓ Paid time off ✓ Parental leave ✓ Retirement plan
Pay:
$18.00 - $23.00 per hour Expected hours: 40.0 per week
