NOW HIRING - OFFICE MANAGER / ADMINISTRATIVE OPERATIONS MANAGER
$65,000-$80,000 Starting Salary | Monday-Friday | $100K+ Multi-Store Growth Potential We are not looking for someone who simply wants an office job. We're looking for someone ambitious enough to eventually run the administrative operation behind multiple dealerships. Vantacar is building the management infrastructure for our next stage of growth, and this position will become an important part of it. The person we hire will initially be hands-on—titles, accounting support, accounts payable, deal documentation, vehicle records, vendors, office organization and administrative controls. But that's where the position starts , not necessarily where it ends. Our goal is to develop the right person from: Office Manager → Administrative Operations Manager → Multi-Store Administrative Director As responsibility grows, compensation should grow with it.THIS POSITION IS FOR AN OPERATOR
This is not a receptionist position. It is not an assistant position. And it is not a position where your primary responsibility is answering phones and keeping the office looking nice. You will be responsible for helping maintain the administrative integrity of the dealership. We need someone who understands that the paperwork, accounting controls, titles, payments and records behind a dealership are just as important as what's happening on the sales floor.WE WANT AMBITION
We aren't looking for someone whose goal is to do exactly the same job five years from now. We want someone who looks at an organization and thinks: How can I make this better? How can this be more organized? What can be standardized? Where are we exposed? What are we missing? What takes too much time? What should be tracked that currently isn't? What would need to change if we had three locations instead of one?And eventually:
Who do I need underneath me so I can manage the system instead of personally performing every task inside it? That's where we want this position to go.THE STANDARD
We are specifically looking for someone who is: Meticulous. Extremely organized. Particular. Analytical. Ambitious. Process-driven. Financially responsible. Serious about accuracy. You're probably the person who notices when something is slightly off. The missing signature. The invoice that doesn't match. The title that hasn't arrived. The vendor who billed incorrectly. The repair that wasn't documented. The expense nobody can explain. The deal jacket missing a form. The deadline approaching that everyone else forgot. Small discrepancies should bother you until you understand them.CRITICAL THINKING IS PARAMOUNT
Being organized isn't enough. We need someone who thinks. If something repeatedly goes wrong, don't just continue fixing it. Figure out why it keeps happening. If titles are delayed, determine the bottleneck. If invoices don't reconcile, determine why. If vehicle repair documentation is incomplete, fix the process creating the problem. If information is difficult to retrieve, improve the system. If two departments are tracking the same information differently, standardize it. We want someone who can eventually look at administrative operations across multiple dealerships and determine very quickly: What's working? What's not? What's missing? What's exposed? And what needs to change?CORE RESPONSIBILITIES
You will be responsible for administrative and clerical operations including, but not limited to:DEAL & TITLE ADMINISTRATION
Vehicle title processing and tracking Deal jacket organization Reviewing paperwork for completeness Monitoring missing signatures and documentation Maintaining required customer and vehicle records Coordinating title and deal documentation Tracking outstanding paperwork Maintaining organized records for completed transactions Every deal should tell a complete story when its file is opened. Someone shouldn't have to track down four employees to understand what happened.ACCOUNTING & ACCOUNTS PAYABLE
Working with the General Manager and ownership, you will help organize, track and process dealership obligations including: Vendors Contractors Auctions Utilities Parts suppliers Transportation Service providers Recurring accounts Operating expenses Other dealership obligations You should know: What we owe. Who we owe. When it's due. What it's for. Whether it's correct. Whether it's been paid. We don't want bills simply getting paid. We want them controlled and documented.VEHICLE EXPENSE & SERVICE RECORDS
Every vehicle represents invested capital. We want accurate records documenting money and work going into that vehicle.This includes:
Mechanical repairs Parts Recon Outside vendors Inspections Transportation Contract labor Service work Other inventory-related expenses If money was spent on a vehicle, there should be a record. If work was performed on a vehicle, there should be documentation. "Someone probably has it somewhere" is not an acceptable system.OFFICE OPERATIONS
You will help maintain: Office supplies Filing systems Administrative deadlines Record retention Vendor documentation Internal paperwork Organized digital and physical records Administrative procedures Professional office organization At first, you will not have a large administrative staff underneath you. You need to be willing to do the work before you're responsible for managing the people who do it. That's important. As we grow, assistance will be added where justified. Our expectation is that you eventually help determine what those positions should be, how responsibilities should be divided and how those employees should be trained.THIS ROLE IS OPEN TO THE BEST PERSON

Starting Salary:
$65,000-$80,000 Starting compensation will depend on prior experience, demonstrated ability and how much responsibility you are prepared to assume immediately. There will also be opportunities for company performance bonuses. And we're interested in what this position can become—not just what it pays on day one. THE $100K+ OPPORTUNITY Our objective is to grow into a multi-location dealership organization. One dealership may need an Office Manager. Three dealerships need something different. They need someone capable of overseeing administrative operations across the organization. Someone who establishes standards. Audits locations. Develops administrative employees. Creates systems. Ensures titles are being handled. Ensures deals are properly documented. Ensures accounts and vendors are controlled. Ensures vehicle expenses are recorded. Finds discrepancies. Creates accountability. Reports meaningful information to executive management. And makes sure three locations operate under one administrative standard. When the position reaches that level of responsibility and the company reaches that level of growth, we see this developing into a $100,000+ administrative leadership career. Monday-Friday 8:30 AM-5:30 PM Approximately one Saturday per month may occasionally be scheduled based on business needs. We understand the value of having a life outside the dealership. When you're here, however, we expect you to be engaged and accountable.WHERE THIS CAN GO
