We're looking for an experienced Office Manager to become one of the key leaders within our dealership. This position is far more than accounting. You'll oversee our business office, lead critical financial and administrative operations, support our employees throughout their careers, ensure compliance with state regulations, and help our leadership team make informed business decisions. Position Overview The Office Manager is responsible for the daily administration and financial operations of the dealership, including payroll, human resources, accounts receivable, dealership compliance, inventory financing, financial reporting, and office leadership. Working directly with ownership and department managers, this individual plays a vital role in ensuring the dealership operates efficiently while maintaining the highest standards of accuracy, professionalism, and compliance. This position requires a leader who is highly organized, detail-oriented, trustworthy, and capable of managing multiple priorities in a fast-paced dealership environment. Primary Responsibilities Accounting & Financial Management Process payroll accurately and on schedule. Prepare monthly financial statements and management reports. Record monthly journal entries and recurring operating expenses, including rent and other fixed costs. Oversee customer accounts receivable and collections. Process customer trade payoffs. Pay off floorplan inventory and maintain accurate inventory financing records. Reconcile financial accounts and ensure accurate general ledger reporting. Assist ownership with financial reporting and operational analysis. Ensure financial records are accurate, timely, and audit-ready. Human Resources Manage the complete employee onboarding experience. Coordinate employee offboarding and exit procedures. Maintain confidential employee personnel files. Administer new hire paperwork and HR documentation. Assist with employee benefits administration. Support department managers with HR policies and employee communications. Help foster a positive workplace culture focused on teamwork, accountability, and continuous improvement. Compliance & Regulatory Administration Ensure dealership compliance with all Louisiana Motor Vehicle Commission (LMVC) regulations. Prepare and submit applications for LouisianaSalespersonLicenses. Prepare and submit applications for Louisiana Finance & Insurance (F&I) Licenses. Monitor all licensing deadlines and renewals. Maintain dealership compliance files and required documentation. Coordinate with state agencies, manufacturers, financial institutions, and dealership leadership regarding licensing and regulatory matters. Stay current on changes to state regulations and implement procedures that ensure ongoing compliance. Assist with dealership audits and maintain organized records for inspection. Leadership & Office Operations Supervise, mentor, and support our Accounts Payable Clerk. Develop and improve office procedures and internal controls. Ensure accounting deadlines and reporting requirements are consistently met. Collaborate with department managers to improve operational efficiency. Identify opportunities to improve systems, processes, and overall dealership performance. Lead by example with professionalism, integrity, and accountability. Qualifications Preferred Experience 3+ years of accounting, office management, or dealership administration experience. Automotive or RV dealership accounting experience is highly preferred. Experience with payroll processing. Experience with financial statement preparation. Human Resources experience is preferred. Supervisory or management experience is a plus.
