This vital role ensures smooth administrative workflows, maintains efficient communication channels, and supports overall office productivity. The ideal candidate will bring a proactive attitude, excellent organizational skills, and technical proficiency to foster a welcoming and well-functioning workplace. As an Office Manager, you will serve as the backbone of our administrative team, ensuring that all office functions operate seamlessly and efficiently. Duties Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette. Oversee office supplies inventory, procurement, and filing systems to ensure all resources are readily available and well-organized. Coordinate calendar management, schedule appointments, meetings, and conference rooms using productivity software and Google Workspace tools. Maintain accurate data entry records using spreadsheets, Word processing, and bookkeeping software such as QuickBooks for financial tracking. Provide exceptional customer service by assisting clients and visitors with inquiries while maintaining a positive and professional demeanor. Support administrative functions such as proofreading documents, managing correspondence, and performing clerical tasks like filing and document scanning. Assist with bookkeeping duties, including invoice processing and expense tracking to support financial accuracy. Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with Google Workspace applications for effective document creation and communication. Strong organizational skills with the ability to multitask efficiently in a fast-paced environment. Excellent computer literacy including data entry, typing speed, proofreading, and technical proficiency with productivity software. Experience managing multi-line phone systems and providing exceptional phone communication and customer support. Bilingual abilities are a plus to facilitate communication with diverse clients and team members. Knowledge of office management procedures including filing systems, calendar management, and clerical practices. Previous experience in administrative roles such as front desk receptionist or medical receptionist is highly desirable.
