We perform both electrical service work and construction projects , and we are looking for someone who can help keep our office organized and our day-to-day operations running smoothly. This is an important position within our company. The right person will work closely with management, electricians, customers, contractors, and local permitting departments.
Responsibilities Responsibilities will include:
General office and administrative duties Answering phones and responding to customer inquiries Scheduling electricians and coordinating service calls Managing and updating the company schedule Preparing and submitting electrical permit applications Following up with cities and towns regarding permits and inspections Preparing customer invoices and assisting with billing Tracking outstanding invoices and payments Creating and organizing job folders and project documentation Maintaining customer and project information Email correspondence with customers, contractors, vendors, and inspectors Assisting with estimates, proposals, change orders, and other documents Keeping management informed of scheduling conflicts, outstanding paperwork, and customer needs General support for the day-to-day operation of a busy electrical contracting company Qualifications We are looking for someone who is: Highly organized and detail-oriented Dependable and punctual Comfortable working in a fast-paced environment Able to prioritize multiple tasks at once Professional and friendly when communicating with customers Comfortable speaking on the phone and communicating by email Proficient with computers and common office software Able to learn new programs and systems quickly Capable of working independently and taking initiative Good at following up and making sure tasks are completed Previous office or administrative experience is preferred. Experience working for an electrical, plumbing, HVAC, construction, or other trade contractor is a major plus , particularly experience with permitting, scheduling, service dispatch, or construction invoicing.
