Job Description

Summary of Job Purpose We are looking for an exceptional Office Manager & Commercial Support Specialist to be the operational heartbeat of our Boston site. In this role, you will ensure the smooth day‑to‑day functioning of the office while providing critical administrative and commercial support to our local and global teams. You will manage customer interactions, coordinate shipments, oversee inventory, maintain a welcoming office environment, and streamline processes that keep our business running efficiently. Global Head of Commercial Key Accountabilities and Responsibilities:
Oversee daily office operations, vendor management, supplies, meeting logistics, and general administrative tasks to maintain an organized and efficient workspace. Serve as a primary point of contact for customers and employees; manage enquiries (including shared inbox), support visits and events, and represent the company with professionalism. Manage sales enquiries, quotations, order processing (SAP), stock control, shipment preparation, freight coordination, documentation, and compliance— including Dangerous Goods requirements. Support finance through receipt tracking, invoice checks, and filing; assist with monthly sales data preparation. Contribute to a positive team culture by coordinating office activities and engagement events. Anticipate operational needs, troubleshoot issues, and handle competing priorities with sound judgment and a solutions‑focused mindset. Desirable Skills, experience and
Knowledge:
Strong organizational skills with exceptional attention to detail. Ability to thrive in a fast-paced, dynamic environment. Excellent interpersonal and communication skills in English. Customer‑focused mindset and a positive, solutions‑oriented attitude. Experience with SAP or similar systems (preferred but not required). Shipping or logistics experience (Dangerous Goods training a bonus and can be provided).
