Job Description

About the Role We are seeking an organized, professional, and personable Office Coordinator to support day-to-day office operations and serve as the primary point of contact for visitors and callers. This role combines front-office coordination with administrative support. The Office Coordinator will manage the main phone line and visitor experience, and coordinate meeting spaces, office supplies, mail and deliveries, travel, meetings, and other administrative needs. This is a great opportunity for someone with front desk, customer service, or administrative experience who is ready to take on broader office coordination responsibilities and continue developing their administrative skills. What You'll Do Manage the company's main phone line, including answering, screening, and accurately routing incoming calls. Greet visitors, vendors, candidates, and employees and provide a welcoming and professional experience. Maintain consistent front-desk and phone coverage throughout the workday. Manage meeting and conference room calendars and prepare rooms for scheduled meetings. Coordinate meeting and visitor needs, including catering, refreshments, technology, supplies, and room setup. Monitor and order office and meeting-room supplies. Receive and distribute mail, packages, and deliveries and assist with outgoing mail and shipping. Coordinate routine office maintenance needs and communicate with office vendors. Book business travel and prepare organized travel itineraries. Assist with meetings, company events, workshops, and related logistics. Prepare presentations, reports, correspondence, and other administrative materials. Provide administrative support to department leaders and cross-functional teams. Maintain organized records and internal resources. Assist with special projects and process improvements as needed. Handle confidential and sensitive information with professionalism and discretion. What We're Looking For High school diploma or equivalent. Previous experience in a receptionist, front desk, customer-facing administrative, office support, or similar role. Strong verbal and written communication skills. Professional and confident communication by phone and in person. Strong organizational skills and attention to detail. Ability to manage multiple priorities and follow tasks through to completion. Comfortable working independently and taking initiative with routine office needs. Strong customer service and interpersonal skills. Sound judgment and discretion when handling confidential information. Proficiency with Microsoft Office and general office technology. Ability to learn and independently operate a multi-line phone system and standard office equipment. Preferred Experience Associate's degree or relevant certification in business, office administration, hospitality, or a related field. Experience independently managing a reception or front-office function. Experience supporting department leaders or multiple departments. Experience coordinating meetings, travel, events, or other office logistics. Experience working with office vendors, supplies, or general office services. Schedule & Work Environment This is a full-time, on-site position, Monday through Friday, 7:00 AM-3:30 PM. Reliable and consistent on-site attendance is important because this position provides primary front-desk and main phone-line coverage. The position includes regular computer and telephone use, frequent interaction with employees and visitors, prolonged periods of sitting or standing, and occasional light lifting related to office supplies and deliveries.
Pay:
$23.00 - $28.00 per hour Expected hours: 8.0 per week
