Job Description
Job Summary We are seeking a dynamic and detail-oriented Front Office Manager and Designer to lead our front desk operations while bringing creative vision to our space. This dual role combines administrative excellence with innovative design skills, ensuring a welcoming environment for clients and visitors, while also managing day-to-day office functions. The ideal candidate will thrive in a fast-paced setting, demonstrating exceptional organizational skills, leadership ability, and a flair for sign design. You will be instrumental in creating an inviting atmosphere that reflects our brand's personality and supports seamless office operations. Duties Oversee all front desk activities, including multi-line phone systems, client communication, and greeting visitors with professionalism and warmth Manage schedule coordination for staff, meetings, events, and appointments using calendar management tools Handle vendor management by sourcing supplies Handle Sign Town Permitting Support in sign, vehicle, and vinyl graphic layouts/designs Maintain confidentiality of sensitive information while managing office records, filing systems, and documentation Coordinate event planning activities such as meetings, workshops, and special functions to ensure smooth execution Utilize accounting software like Estimate for invoicing and estimates Manage office supplies inventory and oversee office maintenance to ensure a productive environment Support human resources functions including onboarding new staff, managing employee records, and assisting with HR policies Implement office management procedures that enhance efficiency and improve customer service experience Experience Proven supervisory experience in an office or administrative setting with team management responsibilities Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and spreadsheets for data tracking and reporting Experience with accounting software such as QuickBooks or similar platforms for bookkeeping and payroll processing Prior experience in design (and Adobe Illustrator - min 2 years) Strong organizational skills with the ability to handle multiple priorities simultaneously in a fast-paced environment Excellent communication skills—both verbal and written—with a focus on client service excellence Technical proficiency in office equipment including multi-line phones, fax machines, printers, and other office technology Knowledge of human resources practices related to employee onboarding, training & development, and confidentiality handling Join us to be the heartbeat of our organization—driving operational success while cultivating an inspiring space that welcomes clients and energizes our team!
