Office Manager Job Description Position Summary We are seeking a highly organized and proactive Office Manager to oversee the administrative and operational functions of our property management company. The ideal candidate will ensure smooth daily office operations, support our team, manage vendor relationships, accounting system and contribute to the efficiency of our rental portfolio management in Massachusetts. Key Responsibilities Oversee daily office operations including mail, supplies, equipment, and facilities. Handle bookkeeping, invoicing, expense tracking, and basic financial reporting. Support tenant screening efforts, leasing processes, and compliance documentation. Coordinate with vendors, contractors, and service providers for maintenance and repairs. Maintain office records, databases, and filing systems (physical and digital).
Assist with HR tasks:
onboarding, payroll support with Gusto, team communications. Ensure compliance with local, state, and federal regulations for property management. Support marketing efforts for rental listings (Squarespace website builder, MLS). Prepare reports for management on operations and budget. Qualifications and Skills 2+ years of experience in office management, preferably in real estate or property management. Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and property management software (e.g., Rent Manager, Appfolio, Yardi). Strong organizational, multitasking, and problem-solving skills. Excellent written and verbal communication skills. Knowledge of Massachusetts real estate regulations preferred. Bilingual English and Spanish strongly preffered. High school diploma or equivalent required; Associate's or Bachelor's degree preferred. What We Offer Competitive salary based on experience.
