About the Role We are seeking a highly organized, proactive, and hands-on Facilities & Office Operations Manager to oversee the day-to-day operations of our mixed‑use workspace. This role blends facilities management, office operations, and administrative support to ensure our environment is functional, organized, and welcoming for employees and visitors. You'll be the backbone of our physical space — from managing vendors and coordinating maintenance to supporting onboarding and keeping our office running smoothly. Key Responsibilities Facilities & Space Operations Audit the current space and develop a plan to fully organize and optimize industrial, demo, office, and café areas.
Independently manage daily tasks:
maintain common areas, label and stock the kitchen, keep shared spaces clean, hang artwork/signage, move equipment, and troubleshoot minor fixes. Oversee package monitoring, mail pickup, and receiving — ensuring all deliveries are tracked and distributed correctly. Manage trash and recycling across a mixed-use facility, including coordination of special disposal needs for industrial areas. Coordinate weekly lunch ordering for the organization. Manage external vendors including security, electrical, and general contractors. Serve as primary liaison with building management; navigate maintenance requests and building requirements. Make strategic decisions on space utilization and configuration as the company grows. Build new systems and routines that ensure long-term functionality, safety, and organization of the space. Administrative & Team Operations Partner with the People team to support new hire onboarding (IT setup, access badges, desk assignments, and Day One readiness). Manage office supply procurement, operational spend visibility, and budget tracking.
Own the vendor management lifecycle:
sourcing, contracts, invoicing, and performance oversight. Manage reception and front-of-house operations to ensure a smooth visitor experience. Handle day‑to‑day employee requests and ensure office needs are addressed promptly. Support team and executive scheduling, travel logistics, and coordination with minimal friction. Act as the connective link between the office environment, operations function, and the teams that rely on both. Required Skills & Qualifications Proven experience in office management, facilities coordination, or administrative operations. Strong vendor management experience. Experience supporting onboarding processes. Ability to manage front-desk or reception functions. Strong organizational, communication, and multitasking skills. Comfort with hands-on tasks in a mixed-use environment (industrial + office). Ability to work autonomously and build systems from the ground up. Job Type & Location This is a Contract position based out of Watertown, MA. Pay and Benefits The pay range for this position is $25.00 - $30.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
