Job Description
We are seeking a highly motivated, organized, and dependable individual to join our team as an Office Manager / Administrative Assistant. This position plays an integral role in the daily operations of two established family-owned businesses: a professional property management company and a full-service marina. The ideal candidate will possess excellent customer service and organizational skills, be comfortable working in a fast-paced office environment, and have some bookkeeping or accounting experience. While prior experience is required, we are also committed to training the right person who demonstrates a strong work ethic, attention to detail, and a willingness to learn.
Primary Responsibilities:
- Serve as the first point of contact for tenants, customers, and vendors.
- Answer incoming telephone calls and direct inquiries to the appropriate department.
- Assist with customer and tenant relations in a professional and courteous manner.
- Accept, record, and process customer and tenant payments.
- Collect and record rental income.
- Prepare invoices, account statements, leases, contracts, and other business documents.
- Process accounts payable and assist with routine bookkeeping tasks.
- Work closely with our back-office accountant to ensure accurate financial records.
- Maintain organized office files and records.
- Provide general administrative support to assist with the day-to-day operations of both businesses.
Qualifications:
- Previous office administration or customer service experience preferred.
- Bookkeeping or accounting experience is required.
- Strong organizational skills and exceptional attention to detail.
- Excellent verbal and written communication skills.
- Proficiency with Microsoft Office and QuickBooks.
- Ability to multitask, prioritize responsibilities, and work independently.
- Professional, positive, and team-oriented attitude.
