Job Description

Office Manager St. Anne's Parish | Annapolis, Maryland Schedule 30 hours per week, Monday-Thursday, 9:00 a.m.-4:30 p.m. Salary and Classification Competitive, In-line with Diocesan Guidelines, Nonexempt Workplace Primarily on site at the parish office An invitation to serve St. Anne's Parish, a thriving historic and vibrant parish, seeks an organized, gracious, and highly dependable Office Manager to support the clergy in sustaining a hospitable, responsive, and well-ordered parish office. This position is often the first point of contact for parishioners, families, visitors, vendors, and members of the wider community. The successful candidate will combine administrative precision with patience, discretion, and a genuine desire to serve people well.
What you will do:
Support the Clergy Manage calendars, appointments, correspondence, meeting details, reminders, and routine follow-up. Prepare letters, forms, agendas, packets, and other administrative materials. Receive pastoral and sacramental inquiries, schedule clergy consultations, and route pastoral or liturgical decisions to the clergy. Keep the parish office welcoming and responsive Serve as a hospitable first point of contact in person, by telephone, and through the general parish email account. Coordinate mail, deliveries, office supplies, volunteer receptionists, and regular reception coverage. Provide practical administrative support for meetings, classes, receptions, and parish events, including RSVPs, room arrangements, signage, supplies, food orders, and setup requests. Maintain calendars records and systems Maintain the master parish calendar and coordinate room reservations with clergy, staff, ministry leaders, and facilities personnel. Administer Realm© or a successor parish database and maintain accurate membership, contact, sacramental, burial, interment, and administrative records. Process membership transfers, letters of good standing, certificates, record requests, and statistical information for parish and diocesan reporting. Maintain secure physical and electronic files in accordance with approved record-retention practices. Coordinate services facilities and office operations Provide clergy-approved introductory information about baptisms, weddings, funerals, and related parish procedures; maintain approved service calendars and administrative checklists. Administer approved facility-use agreements, required forms, certificates of insurance, fees, invoices, and documentation, while referring exceptions and policy decisions to the appropriate staff member. Coordinate office technology and service vendors, including telephone, copier, audiovisual, access control, and related systems. Maintain administrative records for Safe Church training, background checks, and related volunteer compliance requirements. Support stewardship and sound administrative controls Coordinate stewardship mailings, pledge documentation, acknowledgment letters, and thank-you correspondence according to approved procedures. Coordinate the administrative needs of the counting ministry and transfer payments, receipts, reimbursements, and financial documentation promptly to Finance. Prepare Bill.com (Divy Invoices) for Finance Team and Realm© for stewardship/pledge. Protect confidential pastoral, personnel, sacramental, donor, and parish information.
Who we are looking for:
Three or more years of progressively responsible experience in office management, executive assistance, administration, or records management; church or nonprofit experience is preferred. Demonstrated ability to manage calendars, correspondence, reception, filing, records, and competing priorities with consistent follow-through. Strong working knowledge of Microsoft 365 and experience with a membership, constituent, or customer database; familiarity with Realm is preferred. Excellent written and spoken communication, careful attention to detail, sound judgment, and discretion with confidential information. A calm, welcoming manner and the ability to work collegially with clergy, staff, volunteers, parishioners, families, vendors, and the public. Ability to work at a computer and telephone for sustained periods and to move files, mail, office supplies, and records weighing up to 20 pounds, with reasonable accommodation where applicable. Work rhythm The regular schedule is 30 hours per week, Monday through Thursday, from 9:00 a.m. to 4:30 p.m. The position is primarily on site in the parish office. Occasional evening, weekend, funeral, or major parish responsibilities may be required with advance notice. As a nonexempt position, all hours worked must be recorded and compensated or offset through an approved schedule adjustment in accordance with applicable requirements. Compensation and benefits The anticipated compensation range is $25-30/ per hour. The position is eligible for benefits in accordance with parish policies, including paid leave, paid holidays, retirement-plan participation, and medical coverage or an approved cash-in-lieu benefit, as applicable.
