The role is primarily in-person and office-based, with scheduled jobsite presence as needed to effectively manage the administrative team and day-to-day office operations. No regular weekend work or remote work is expected.

Mid-Atlantic Industrial Construction, LLC (MAIC) is a heavy industrial contractor based in Baltimore, MD with a satellite office in Hagerstown, MD. MAIC has a focus on the process industrial market with our primary focus being the installation of equipment, piping, and structural steel for a core group of clients that demand quality, safety, and reliability. With that in mind, we work in a wide range of environments from Food Grade Manufacturing to Chemical Processing and Power Plants.
POSITION SUMMARY
We are a growing heavy industrial contractor seeking an experienced, organized, dependable, and hands-on Office Operations Manager to lead and strengthen our administrative operations. This position will oversee and support a small administrative team responsible for key functions including payroll, accounts payable, accounts receivable support, employee administration, other office related operations. This is a working management role, not simply a traditional office oversight role. The ideal candidate is a hands-on manager who can improve processes and become cross-trained enough to provide backup support for critical office functions when needed.
KEY RESPONSIBILITIES
Supervise, train, and support a three to five person administrative team responsible for payroll, accounts payable, and accounts receivable. Establish priorities, deadlines, workflows, and accountabilities for each office position. Oversee payroll processes and develop sufficient hands-on knowledge to provide backup coverage when necessary. Including collection and review of employee time records, job-cost coding, overtime, deductions, and payroll-related documentation. Oversee accounts payable workflows, vendor issues, invoice processing, approvals, and documentation. Ensure proper coding, approval routing, payment schedules, and vendor communications are being implemented. Maintain an understanding of accounts receivable and customer billing processes. Review administrative work for accuracy, completeness, and timely completion. Monitor cash-flow-related activity by ensuring invoices are issued promptly, receivables are actively followed up, and payables are processed according to company priorities. Assist with employee benefits administration and ensure proper onboarding, personnel records, and employee-related documentation. Assist with workers' compensation, general liability, commercial auto, insurance renewals, audits, and related documentation. Monitor recurring expenses, contracts, subscriptions, leases, utilities, and other administrative costs for unusual changes or unnecessary expenses. Oversee tracking of company computers, phones, tablets, software licenses, subscriptions, and user access. Coordinate with outside IT professionals for technical support and technology needs. Develop and maintain SOPs, checklists, backup procedures, and cross-training plans. Identify inefficient or manual processes and recommend improvements. Help ensure critical administrative functions continue during employee vacations, absences, or vacancies. Work closely with ownership and management on administrative priorities, reporting, and process improvements .
SKILLS/QUALIFICATIONS
5+ years of experience in office administrative operations, with a working knowledge of payroll, accounts payable, accounts receivable, and general office financial processes preferred. Prior experience supervising or leading administrative employees strongly preferred. Strong organizational skills and ability to manage multiple deadlines and priorities. Excellent attention to detail and ability to quickly recognize discrepancies or unusual activity. Strong written and verbal communication skills. High level of professionalism, discretion, dependability, and confidentiality. Strong Microsoft Office skills, particularly Excel and Outlook. Experience with accounting, payroll, ERP, or construction-management software preferred. QuickBooks Desktop and Online experience is a plus. Ability to develop new processes and to provide hands-on support when necessary. Preferred experience in construction project-based business is highly desirable. Preferred experience with construction Payroll, Certified/Prevailing Wage Payroll, and Job cost accounting.
