About Soupergirl :
Soupergirl is a rapidly growing, women-owned, plant-based food company dedicated to making the world a better place. We create fresh, small-batch, delicious soups, gazpachos, and salsas that are Fair Food Certified, kosher, and environmentally responsible. We are looking for a highly motivated and versatile team member to join our team, helping support our mission and growth.
Role Overview:
This is a multi-functional role at the heart of Soupergirl's team. You will manage day-to-day administrative workflows, coordinate cross-departmental operations, support leadership with scheduling and logistics, and support the direct-to-consumer program. You will also support HR as part of a broader operational support. The ideal candidate is proactive, highly organized, people-focused, technology-minded, and comfortable wearing multiple hats in a fast-paced environment. Spanish language proficiency is preferred to effectively support and communicate with our diverse workforce.
Key Responsibilities:
Administrative Support
  • Provide general administrative support to leadership, including travel logistics, general office management, scheduling, meeting coordination, and document preparation.
  • Provide general office administration support to the team - voicemail, mail, door answering, etc.
  • Support the business development team with retail and wholesale samples shipments. Assist with the preparation and distribution of pricing sheets, sell sheets, and customer-facing materials.
  • Support the business development team with new account onboarding documentation.
  • Support the management of the outsourced direct-to-consumer program by coordinating between the fulfillment partner and the Soupergirl Operations team.
  • Oversee customer service for inbound inquiries direct to Soupergirl.
  • Support invoice tracking and follow-up on outstanding receivables in coordination with the Finance team. HR Admin
  • Support recruiting for production and warehouse roles.
  • Manage new-hire onboarding, orientation, and early-tenure support to ensure successful integration.
  • Manage documentation, personnel files, and HRIS accuracy.
  • Work closely with Operations to set and maintain shift schedules in Paylocity.
  • Monitor attendance and performance data; partner with managers for follow-up. Training & Development
  • Partner with Operations to track required safety and compliance trainings to ensure completion and appropriate documentation. Employee Relations & Culture
  • Foster a positive, inclusive, fair, and values-aligned workplace culture.
  • Lead employee engagement initiatives, company celebrations, and recognition programs. Required
  • 2-5+ years in administrative experience.
  • Fluency in English (verbal and written).
  • High level of discretion, professionalism, and confidentiality.
  • Excellent organizational and communication skills.
  • Ability to work on-site full-time at both our Lanham and Jessup, MD, facilities.
  • 1+ years working with HRIS systems. Preferred
  • Associates degree in HR, Business Administration, or related field (or equivalent experience).
  • Fluency in Spanish (verbal and written).
  • Knowledge HR best practices.
  • Experience working in manufacturing, food production, warehouse, or similar environment.
  • Experience with Paylocity and Employee Navigator systems.
  • Familiarity with food manufacturing and warehouse safety compliance.
  • Experience in a sales support, customer service, or business development coordination role.
  • Comfort with CRM tools, accounting systems, order tracking systems, or basic administrative workflows. What We Offer

Pay:
$65,000.00 - $70,000.00 per year
