This vital role combines administrative expertise with healthcare management, ensuring smooth clinic functioning, compliance with healthcare regulations, and exceptional patient service. The ideal candidate will possess strong leadership skills, extensive experience in medical office management, and a passion for fostering a positive environment for both staff and patients. Join us to make a meaningful impact on mental health care delivery while managing a busy, fast-paced outpatient setting. Responsibilities Oversee all administrative functions of the outpatient mental health clinic, including scheduling, patient flow, and staff coordination. Manage fiscal responsibilities such as budgeting, financial management, medical billing, and ensuring revenue cycle efficiency. Supervise clinical and administrative staff, providing leadership in human resources functions like hiring, training, performance evaluations, and staff development. Ensure compliance with healthcare regulations including
HIPAA, ACHC
standards, and state/federal policies related to mental health services. Maintain accurate medical records using Electronic Health Record (EHR) systems such as Athena; oversee documentation quality and confidentiality. Coordinate with clinicians to optimize patient management workflows using patient management software and EMR/EHR systems. Monitor clinic operations for quality assurance, patient satisfaction, and adherence to health regulation policies; implement process improvements as needed. Facilitate communication between healthcare providers, patients, insurance companies, and external agencies to ensure seamless service delivery. Qualifications Proven experience in medical office management within outpatient or mental health settings; dental or acute care experience is a plus. Strong supervisory skills with demonstrated success managing healthcare teams and staff in a clinical environment. Proficiency in EMR/EHR systems such as Eaglesoft or Dentrix; skilled in Microsoft Office Suite for reporting and documentation purposes. Knowledge of healthcare practice management including billing, coding, managed care, utilization management, and HIPAA compliance. Familiarity with medical terminology, medical records management, and health regulation policies like ACHC standards. Excellent managerial communication skills coupled with customer service orientation to support both staff morale and patient experience. Ability to handle fiscal responsibilities including budgeting, financial analysis, and resource allocation effectively. Prior experience in managing healthcare practice operations with an emphasis on compliance and quality improvement initiatives is highly desirable.
