Job description Stoney Brook Landscaping and Masonry is seeking an organized and motivated Office Manager to oversee the daily operations of a busy, mid-size, landscaping and masonry business located in Cape Neddick, Maine. Stoney Brook Landscaping is a growing family company and in this critical, in-person role you'll be working closely with and alongside our bookkeeper and the owners. This role requires many hats and quick feet to keep the office moving, the equipment shop stocked. In this role, there will be a seasonal flow to what work gets prioritized, and the ideal candidate will be someone who is comfortable going with the flow, trustworthy and reliable, a quick learner and able to take direction easily. Our top priority is providing excellent customer service to our landscaping clients. Experience in the landscaping, masonry industries a plus. Candidates should have a customer service mindset, be a self-starter, highly organized, resourceful, not be afraid to ask questions and be a clear and concise communicator. A high proficiency in QuickBooks Online (A/R and A/P) and Microsoft Office required. Essential Duties and Responsibilities Handle client requests through email, phone or in person Maintain files of ongoing work inclusive of weekly mowing, landscape maintenance, seasonal clean-ups and winter plowing Capture and communicate notes and needs for additional landscape and masonry jobs outside of regular maintenance Process completed job sheets into QuickBooks for billing Upload daily receipts and contact vendors for missing receipts Schedule new job reviews and other appointments Ensure company is compliant with all DOT regulations Manage and maintain maintenance service records for vehicles and equipment Onboard new employees Pick up materials, run daily errands such as post office mail pick up, bank runs Weekly sales reporting Social media management Weekend availability as needed/upon request Preferred Qualifications and Skills Proficient in QuickBooks Online Proficient in Microsoft Office, especially Microsoft Excel Strong communication skills High levels of organizational effectiveness Strong communication skills (phone, email, in person) Excellence in customer service Attention to detail Must be a motivated self-starter who is able to work independently with little or no supervision Flexible and willing to help out as needed Knowledge of Spanish is a plus Experience An undergraduate degree or an equivalent amount of business experience with a verifiable track record of strong performance. A valid driver's license and have reliable transportation.
