Job Overview We are seeking an energetic and detail-oriented Front Office Administrator to be the welcoming face of our organization. Responsibilities Greet visitors, clients, and vendors warmly, providing excellent customer service and ensuring a professional first impression. Manage multi-line phone systems with courteous phone etiquette, directing calls accurately and efficiently. Handle front desk duties such as signing in visitors, managing documentation and patient communication. Perform data entry tasks using Microsoft Office, Google Workspace, and other office software to update records, schedules, and correspondence. Organize and maintain filing systems—both physical and digital—to ensure quick retrieval of documents. Support office management tasks including calendar management, appointment scheduling, and coordinating meetings. Assist with bookkeeping activities using QuickBooks or similar accounting software to support basic invoicing and expense tracking. Conduct proofreading of documents for accuracy and clarity before distribution. Support administrative functions such as copying, scanning, mailing, and inventory management of office supplies. Provide clerical support including typing correspondence, preparing reports, and managing incoming/outgoing mail. Maintain professionalism through effective phone etiquette and customer support skills when interacting with clients or vendors. Collaborate with team members to streamline office operations and improve overall efficiency. Qualifications Proven experience in office administration or clerical roles with a strong background in customer service. Basic computer skills Familiarity with QuickBooks or bookkeeping software is advantageous. Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment. Knowledge of office management procedures including filing systems, data entry, calendar management, and document preparation. Exceptional interpersonal skills with professional phone etiquette and customer support capabilities. Previous experience as a dental or medical receptionist or personal assistant is beneficial but not required.
