Position Summary The Office Manager serves as the primary administrative support professional for Gateway Mission, overseeing front office operations, executive and board support, organizational communications, and recruiting administration. This position creates a welcoming and professional environment for guests, donors, volunteers, staff, and community partners while ensuring efficient office operations and organizational communication. The Office Manager supports the Executive Director, Development Team, Leadership Team, and Board of Directors through administrative coordination, communications management, scheduling, event support, and recruitment activities. This role serves as a key connector helping to maintain operational excellence across departments. Essential Duties & Responsibilities Front Office & Guest Services Serve as the primary point of contact for visitors, guests, donors, volunteers, vendors, and community partners. Greet and assist visitors in a warm, professional, and Christ-centered manner. Answer and direct incoming phone calls and inquiries. Maintain office security procedures, visitor screening, and guest check-in processes. Ensure reception and common office areas remain organized, welcoming, and professional. Assist guests with general information and direct them to appropriate staff members. Executive & Board Administration Provide administrative support to the Executive Director and Leadership Team. Manage calendars, appointments, meetings, and scheduling requests. Coordinate Board of Directors and committee meetings. Prepare meeting agendas, packets, reports, and supporting materials. Attend board meetings as assigned and record meeting minutes. Maintain executive correspondence, files, and organizational records. Assist with special projects and leadership initiatives. Communications & Marketing Support Coordinate and manage Gateway Mission's social media platforms and content calendar. Create and schedule content that supports ministry awareness, donor engagement, volunteer recruitment, and organizational communication. Monitor social media engagement and provide analytics reporting. Assist with newsletters, donor communications, prayer partner correspondence, and email campaigns. Support media relations activities, press releases, interviews, and public communications. Maintain brand consistency across communication channels and materials. Collaborate with Development staff on event promotions and fundraising communications. Human Resources & Recruiting Support Assist HR Director with candidate screening and recruitment processes. Assist leadership with HR-related administrative projects and documentation. Maintain confidentiality regarding employee and candidate information. Administrative Operations Order and maintain office supplies, ministry materials, and administrative resources. Sort and distribute incoming mail and deliveries. Support staff with office equipment, technology, and administrative systems. Maintain organizational files, databases, and records. Coordinate facility-related administrative needs and vendor interactions. Assist with donor acknowledgment processes, correspondence, and thank-you communications. Provide administrative support to various departments as assigned. Event & Ministry Support Assist with planning, coordination, and execution of organizational events. Support development events, donor engagement activities, volunteer appreciation efforts, and ministry functions. Coordinate event logistics, communications, registrations, and administrative support. Assist with Women of Hope events and other constituent engagement activities as assigned. Support internal staff events and organizational gatherings. Personal Qualifications Demonstrate a personal and growing relationship with Jesus Christ. Be actively involved in a local evangelical church. Share the Gospel message appropriately as opportunities arise. Demonstrate compassion, professionalism, and Christ-like character in all interactions. Education/Experience Associate degree or equivalent experience required; bachelor's degree preferred. Minimum 3 years of experience in office administration, executive support, communications, human resources, or related administrative functions preferred. Experience supporting executives, boards, or leadership teams preferred. Experience with recruiting, onboarding, or HR administration preferred. Experience with social media management, communications, or marketing support preferred. Experience in nonprofit, ministry, or community service organizations preferred. Understanding of rescue mission ministry and homelessness services preferred. Knowledge, Skills & Abilities Exceptional organizational and time-management skills. Strong written, verbal, and interpersonal communication skills. Ability to manage multiple projects, deadlines, and priorities simultaneously. Strong attention to detail and administrative accuracy. Ability to exercise discretion and maintain confidentiality. Professional presence and ability to interact effectively with donors, board members, community leaders, staff, and guests. Proficiency with Microsoft 365, Outlook, Teams, Word, Excel, and related office technologies. Experience with social media platforms and digital communication tools. Ability to learn new software and systems quickly. Self-motivated with strong problem-solving and decision-making abilities. Physical Activities/Demands & Work Environment Regularly required to sit, stand, walk, speak, and hear. Frequently use hands and fingers to operate office equipment and technology. Occasionally lift and move items up to 35 pounds. Ability to read, write, and interpret written information. Work is performed primarily in an office and ministry environment.
