patient experience. The ideal candidate needs to be confident, attentive, detail-oriented, and possess excellent communication skills . As an Office Manager, you will be the backbone of our administrative functions, fostering a productive and welcoming environment. Responsibilities Oversee front desk operations, greeting visitors and managing multi-line phone systems with professionalism and courtesy Maintain organized filing systems, manage data entry tasks, and ensure accurate record-keeping using tools like Microsoft Office and Google Workspace Provide exceptional customer support through phone etiquette, email correspondence, and in-person interactions Support bookkeeping activities using QuickBooks or similar accounting software, including invoicing and expense tracking Manage patient scheduling, recalls, and appointment confirmations Verify insurance eligibility and process claims and billing Oversee accounts receivable and daily financial reporting Hire, train, and supervise front office staff Maintain HIPAA-compliant patient records Coordinate with the clinical team to optimize patient flow Handle vendor relationships and office supply management Respond to patient inquiries and resolve concerns professionally Requirements Proven experience in office management or administrative roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Excellent computer literacy with the ability to adapt to new software quickly Prior experience working at a front desk or as a receptionist in medical or dental settings is highly desirable Bilingual abilities are a plus to effectively communicate with diverse clients and team members Strong phone etiquette skills with experience managing multi-line phone systems and customer inquiries Demonstrated ability to multitask efficiently while maintaining attention to detail and accuracy Personal assistant or medical receptionist experience is advantageous for understanding scheduling and confidentiality requirements Join us in a role that combines leadership with hands-on administrative excellence!
