Office Manager Anderson Dentalcare — Edina, Minnesota Position Overview Anderson Dentalcare is seeking an experienced, organized, and personable Office Manager to oversee the day-to-day administrative operations of our established dental practice in Edina, Minnesota. The Office Manager will play a key leadership role in creating an efficient, organized, and positive environment for our patients and team. This position will work closely with the dentists, hygienists, dental assistants, and front-office team to ensure smooth daily operations while supporting the practice's continued growth. The ideal candidate is a confident leader who is comfortable taking ownership of office operations, improving systems and processes, managing people, and maintaining a high standard of patient service. Key Responsibilities Practice Operations Oversee daily administrative and operational functions of the dental office Ensure the practice runs efficiently and stays on schedule Develop, implement, and maintain effective office systems and procedures Monitor practice performance and identify opportunities for improvement Coordinate staffing, scheduling, and coverage needs Maintain a clean, organized, professional, and welcoming office environment Serve as a primary point of contact between the clinical and administrative teams Team Leadership Lead, support, and hold front-office and administrative team members accountable Assist with hiring, onboarding, training, and performance management Conduct regular team meetings and facilitate effective communication Promote a positive, collaborative, and patient-focused workplace culture Help establish clear expectations and workflows for all team members Patient Experience Ensure patients receive exceptional customer service from scheduling through completion of treatment Assist with complex patient concerns and resolve issues professionally Monitor patient satisfaction and identify opportunities to improve the patient experience Help ensure consistent communication regarding treatment, scheduling, financial arrangements, and follow-up Scheduling & Production Optimize the practice schedule to support efficient use of provider time Monitor cancellations, no-shows, unscheduled treatment, and opportunities for schedule improvement Work with the clinical team to maximize productive appointment time without compromising patient care Monitor treatment acceptance and outstanding treatment opportunities Help establish effective recall and reactivation systems Financial & Administrative Management Oversee accounts receivable and collection processes Monitor insurance claims, outstanding balances, and payment issues Work with the dental team and billing personnel to improve collections and reduce outstanding accounts Assist with payroll, expense management, budgeting, and other administrative functions Coordinate with the practice's accountant and other outside professionals as needed Maintain accurate administrative and financial records Monitor key practice performance indicators and provide regular updates to the dentists/owners Compliance & Risk Management Help ensure compliance with applicable OSHA, HIPAA, employment, and dental-office regulations Maintain required office policies, documentation, and training Coordinate equipment, supply, and vendor management Maintain relationships with laboratories, suppliers, service providers, and other vendors Qualifications Previous dental office management or dental administrative leadership experience preferred Strong understanding of dental office operations, scheduling, insurance, and billing Excellent communication and interpersonal skills Strong organizational and time-management abilities Demonstrated leadership and problem-solving skills Comfortable working with financial and operational reports Proficiency with dental practice management software and Microsoft Office Ability to maintain confidentiality and professionalism Strong attention to detail and follow-through Ability to work independently while collaborating effectively with the entire dental team Ideal Candidate The ideal candidate is someone who: Takes ownership rather than waiting to be asked Is highly organized and follows through on commitments Enjoys creating systems and improving inefficient processes Can confidently lead and hold a team accountable Communicates clearly and professionally Is comfortable working with numbers and practice performance metrics Builds strong relationships with patients and staff Brings a positive, solution-oriented attitude to the workplace Understands that excellent patient care and a successful business go hand in hand What We Offer Opportunity to play a meaningful leadership role in an established private dental practice Collaborative and patient-focused team environment Opportunity to improve and build upon existing practice systems Competitive compensation based on experience Paid time off and other benefits based on experience and employment status 401k, healthcare stipend Opportunity for professional growth and increased responsibility Schedule Full-time Monday-Thursday schedule with hours determined based on practice needs and candidate availability.
