Job Description
POSITION SUMMARY
The Church Office Administrator provides part-time administrative support that helps the church office run smoothly, communicate clearly, and stay organized. This position combines reception, scheduling, financial support, communications, and general office coordination. While some responsibilities occur daily or weekly, others arise seasonally or as ministry needs change.ESSENTIAL RESPONSIBILITIES
Reception and office coordination. Answer phones, monitor the general office email inbox, and assist walk-ins in a welcoming and professional manner. Coordinate the flow of office activity, maintain calendars for meetings and building use, and help manage requests for space, dates, and office resources. Collect, sort, and distribute postal mail and maintain organized office files and records. Administrative support and recordkeeping Prepare, process, and maintain church forms, attendance logs, internal documents, and related office records. Provide printing and document support for church staff and ministry needs. Maintain office equipment and coordinate service or maintenance needs when issues arise. Financial and payroll support Assist with routine financial administration, including payroll processing support, payables/check requests, and related documentation. Support budget-related requests, expenditure tracking, and other basic office financial processes as assigned. Communications and supplies Create and send mass email communications and assist with other routine administrative communications. Order and maintain office and ministry supplies needed for day-to-day operations. Collaboration and other duties Work collaboratively with pastors, staff, volunteers, and ministry teams to support the needs of the church office. Perform other related administrative duties as assigned.QUALIFICATIONS
Prior experience in office administration, church administration, or nonprofit administrative support preferred. Strong organizational skills with the ability to manage calendars, communications, records, and multiple priorities. Comfort working with email, phone systems, office equipment, word processing, spreadsheets, and shared calendars. Ability to handle sensitive information with discretion, accuracy, and professionalism. Clear written and verbal communication skills and a collaborative, service-oriented approach.
