Starting at $30/hour , depending on experience About the Position We are a private mental health practice looking for a dependable, organized, and compassionate Office Manager to join our team. This position plays an important role in keeping the day-to-day operations of the practice running smoothly and ensuring that our clients receive a welcoming, professional experience from the moment they contact our office. The ideal candidate is detail-oriented, comfortable communicating with clients and insurance companies, able to problem-solve independently, consistent in their work, and willing to pitch in wherever needed. Responsibilities Manage day-to-day administrative operations of the office Answer incoming phone calls and respond to client questions in a professional and friendly manner Schedule and coordinate client appointments Verify insurance benefits and assist with insurance-related questions Submit and manage insurance claims and billing Investigate and resolve billing and insurance problems, including denied or unpaid claims Collect client copays, deductibles, and other outstanding balances Communicate with insurance companies regarding claims, benefits, and payment issues Maintain accurate client and billing records Fax, scan, upload, and organize paperwork and other documents Assist with obtaining and organizing required client paperwork Communicate with clinicians regarding scheduling, billing, and administrative needs Maintain a clean, organized, and welcoming office environment. This includes thoroughly cleaning the bathrooms, vacuuming the carpet, cleaning the refrigerator, wiping surfaces, dusting, etc Order and maintain office supplies as needed Handle general administrative tasks and other duties necessary to support the practice Qualifications At least 1 year of relevant office or administrative experience preferred Experience with health insurance, medical/mental health billing, or insurance claims is highly preferred Strong organizational and time-management skills Excellent attention to detail Comfortable communicating with clients, insurance companies, and healthcare professionals Ability to handle confidential information with professionalism and discretion Strong computer skills and ability to learn new software systems Reliable, self-motivated, and able to work independently Friendly, professional, and compassionate demeanor Ability to multitask and prioritize responsibilities in a busy office setting Compensation & Benefits Approximately $30/hour, depending on experience Paid time off (PTO) Paid sick leave Paid lunch break Health and Dental insurance Simple IRA with company matching Additional insurance options available through Aflac Consistent Monday-Friday daytime schedule Who We're Looking For We are looking for someone who takes pride in their work, enjoys helping people, and can balance compassion with attention to detail.
