Job Description
Overview CLC is seeking a friendly, organized, and detail-oriented part-time Office Administrator to support the administrative, worship, communication, and financial operations of the church. Working Monday through Thursday from 9:00 a.m. to 3:00 p.m. (24 hours per week), this individual will often be the first point of contact for visitors and congregation members and will help create a welcoming, responsive office environment. The ideal candidate is a proactive project manager and strong communicator with a vibrant Christian faith, sound judgment, and the ability to work effectively with the pastor, Leadership Team, staff, volunteers, congregation members, vendors, and financial partners. Responsibilities Welcome visitors, respond to telephone calls and emails promptly, receive mail and packages, and provide helpful assistance to congregation members and others contacting the church. Prepare the weekly worship bulletin and PowerPoint presentation by gathering service information from Planning Center, coordinating announcements and content with the pastor, and creating clear, readable, and visually consistent materials. Create and distribute church communications through Canva, Sharefaith, Facebook, mass emails, mailings, flyers, posters, bulletins, and other communication channels. Support the Leadership Team by gathering agenda items, preparing and distributing meeting materials, copying reports, and maintaining agendas, minutes, manuals, binders, financial reports, and permanent records. Process invoices and expense reimbursements, assign account codes, request payments through SimplifyChurch, maintain supporting documentation, and respond to routine accounting questions. Collect and submit employee timesheets for biweekly payroll and maintain related records on the church's shared drive. Maintain accurate contribution records in SimplifyChurch and Vanco, including deposits, donor names, account designations, online gifts, contributor profiles, requested corrections, and retained supporting documents. Assist with financial administration by distributing monthly reports, preparing semiannual and year-end contributor statements, processing approved benevolence payments and letters, supporting annual reporting, and conducting occasional financial research. Maintain member and regular-attendee information in Member360, complete background checks for employees and volunteers, and coordinate building-use, cemetery, and custodial requests. Open and close the church during regular office hours and complete administrative projects requested by the pastor, staff, Leadership Team, committees, and lay leaders. Recommended Experience Two or more years of administrative, office coordination, or comparable professional experience; church or nonprofit experience is preferred. Experience providing front-office, receptionist, customer-service, or member-support services in a welcoming and professional manner. Proficiency with Microsoft Word, Excel, PowerPoint, and Outlook. Experience using Canva to create flyers, posters, bulletins, and other communication materials. Experience preparing presentation slides with an emphasis on readability, visual consistency, and attention to detail. Familiarity with Sharefaith, Planning Center, or comparable church website and worship-planning platforms is preferred. Basic bookkeeping or financial-administration experience, including invoices, reimbursements, payroll records, deposits, donations, and account designations. Experience with SimplifyChurch, Vanco, Member360, or comparable accounting, online-giving, and church-management systems is preferred. Experience preparing meeting agendas, reports, minutes, mailings, and other organizational records. Excellent written and verbal communication skills, including careful proofreading and the ability to respond promptly and courteously. Strong organizational and project-management skills, with the ability to manage recurring deadlines and work independently. Demonstrated discretion when handling confidential financial, personnel, contribution, and membership information. A vibrant Christian faith and the ability to relate positively and respectfully to members of the CLC congregation and broader community.
