This vital role ensures smooth administrative workflows, maintains efficient communication channels, and supports the overall productivity of our team. The ideal candidate will bring strong organizational skills, technical proficiency, and a proactive attitude to foster a welcoming and well-managed workplace. As an Office Manager, you will be the backbone of our office operations, ensuring everything runs seamlessly and efficiently. Duties Manage day-to-day office activities, including overseeing administrative tasks and maintaining office supplies Coordinate calendar management and scheduling for team meetings, appointments, and events Handle incoming calls using multi-line phone systems with professionalism and courtesy, providing excellent customer service Maintain accurate records through data entry, spreadsheets, and word processing using productivity software such as Microsoft Office Support bookkeeping activities with QuickBooks or similar accounting software to ensure accurate financial records Assist with front desk responsibilities, greeting visitors and managing client communication with exceptional phone etiquette Organize files, proofread documents, and perform clerical tasks to support administrative efficiency Facilitate communication between Teams and external clients in both English and bilingual capacities as needed Requirements Proven experience in office management or administrative roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry tasks Experience with QuickBooks or other bookkeeping software is highly desirable Excellent computer literacy and technical proficiency in productivity software tools Strong customer service skills combined with professional phone communication abilities Ability to manage multiple priorities efficiently while demonstrating time management expertise Bilingual abilities are a plus to support diverse client interactions Prior experience in front desk operations or personal assistant roles is advantageous Demonstrated attention to detail through proofreading and document management skills Knowledge of office management best practices along with clerical experience in a fast-paced environment Join us as an Office Manager to lead our administrative team with energy and precision!
