Job Description
Description We are looking for an organized and detail-oriented Office Manager to oversee administrative operations in Minnetonka, Minnesota. This long-term contract position requires someone with strong multitasking abilities, exceptional communication skills, and a proactive approach to managing office functions. You will play a vital role in ensuring smooth day-to-day activities, including financial tasks, project coordination, and maintaining office efficiency.
Responsibilities:
- Manage construction billing processes and ensure accuracy in financial documentation.
- Handle payroll tasks using QuickBooks, maintaining compliance with company standards.
- Process invoices promptly and coordinate with vendors as needed.
- Oversee project management efforts, ensuring deadlines and deliverables are met.
- Utilize basic Excel skills to organize and analyze data effectively.
- Perform receptionist duties such as answering calls and greeting visitors.
- Maintain and order office supplies to support daily operations.
- Ensure accounts payable processes are completed accurately and on time.
- Develop and implement administrative procedures to enhance office efficiency. Requirements
- Proven experience in administrative office management or a similar role.
- Proficiency in QuickBooks for payroll and financial management.
- Familiarity with construction billing practices is highly desirable.
- Strong organizational skills and attention to detail.
- Basic knowledge of Excel for data entry and analysis.
- Ability to handle accounts payable tasks efficiently.
- Excellent communication and interpersonal skills.
- Capability to manage multiple tasks and prioritize effectively in a fast-paced environment.
