About the Role We are seeking a dependable, detail‑oriented Office Administrator to manage daily office operations, bookkeeping tasks, customer interaction, cashiering duties, automotive business office paperwork, and basic collections. This role supports both front‑office and accounting functions, including vehicle titling, deal paperwork, payment processing, and follow‑up on outstanding customer balances . This position is ideal for someone who enjoys a mix of accounting, administrative work, and customer service within a dealership environment. Key Responsibilities Handle daily bookkeeping tasks including accounts receivable, accounts payable, payment posting, and reconciliations Process customer payments, deposits, and cashiering duties with accuracy Complete vehicle titling, registration, and deal paperwork according to state requirements Prepare and verify deal jackets, sales documents, and compliance forms Perform collections follow‑up on past‑due accounts in a professional, customer‑friendly manner Contact customers regarding outstanding balances, send reminders, and document communication Provide friendly, professional customer interaction in person, by phone, and via email Maintain a clean, organized, and efficient office environment Prepare invoices, statements, receipts, and internal accounting documents Manage filing systems, digital records, and document organization Support internal departments with administrative tasks and information requests Monitor office supplies and coordinate replenishment Answer phones, route calls, and assist customers with general inquiries Maintain confidentiality of financial, customer, and deal information Perform daily administrative tasks to support dealership operations Experience & Qualifications Experience in bookkeeping, accounting, or office administration Automotive business office experience strongly preferred , including: Titling and registration Deal jacket preparation Sales paperwork and compliance Understanding of collections processes , customer follow‑up, and payment resolution Strong understanding of accounts receivable, accounts payable, and basic financial processes Strong computer skills , including: Microsoft Office (Excel, Outlook, Word) Accounting or DMS systems (QuickBooks, CDK, or similar) Dealertrack experience a plus Ability to learn new software quickly Excellent customer service, communication, and phone etiquette Strong organizational skills with high attention to detail Ability to multitask and manage a variety of responsibilities in a fast‑paced environment Professional, dependable, and comfortable handling sensitive financial information What We Offer Competitive pay based on experience Stable full‑time schedule Training on dealership systems, titling, collections, and processes Family environment
