Summary/Objective Serves as a point of contact for the Science and Management Branch and assumes administrative work duties while providing excellent customer service. Essential Job Duties Serve as a point of contact for the science and management branch. Plan, assign, coordinate, and supervise activities of administrative staff (hourly), including schedules and vacation coverage. Maintain detailed confidential files. Provide administrative support to staff within the science and management branch. Issue and cancel security access cards to staff. Develop procedures designed to facilitate clerical operations and provide guidance to field staff on policy procedures. Correspond and communicate with internal and external customers via phone, email, and in-person discussions. Answer departmental process questions for internal and external stakeholders and provide training, when necessary. Process invoices for payment, and prepare deposits. Order office supplies and furniture, and manage vendor contracts. Process reservations for public rentals. Maintain functionality of office machines. Ancillary Job Duties May be responsible for the scheduling of fleet equipment. Collaborate with other departments as needed. Other duties as assigned. Education and Experience High school diploma or GED/HiSET required. Three (3) years of progressively responsible administrative experience. Knowledge, Skills and Abilities Proficient in Microsoft Office, including Word, Excel, and Access. Demonstrated knowledge of office practices, procedures, and equipment. Demonstrated customer service skills. Ability to quickly learn and understand Department functions, organization, policies, regulations, and other administrative information and instructions. Highly organized while performing multiple projects. Ability to perform multiple assignments which may require considerable exercise of independent judgment. Ability to plan, organize, supervise, and ensure a high degree of accuracy and thoroughness in the work of administrative staff responsible for a wide range of activities. Good communication skills, both verbal and written. Ability to establish and maintain effective working relationships with Department staff and the general public. Ability to maintain the integrity of confidential information. Ability to work weekends as needed. Work Environment Work is performed in a standard office environment. Physical Abilities Remain in a stationary position 70% or more of the time. Constantly operate a computer and other office productivity machinery. Frequently communicate and exchange accurate information. Clarity of vision at 20 inches or less. Regularly lift up to 5 pounds, correctly lift up to 10 pounds. Concentrated attention is required at all times. Regular attendance is a necessary and essential function.
