Job Description
Office Manager for Livingston Real Estate Office We are looking for an Office Manager to help keep our Livingston office running smoothly and efficiently. This role balances both daily administrative tasks and marketing for the brokerage and property listings. As the first person visitors and clients interact with when they walk through our door, you will set the tone for their experience with a welcoming, positive and professional attitude. Key Responsibilities General Office Operations Maintain a professional, welcoming, and efficient office environment for clients, visitors and agents. Direct incoming phone calls and greet clients with a professional and friendly demeanor. Manage all office supplies and equipment maintenance. Ensure the office is organized, professional, and fully functional daily. Mail distribution and other general clerical duties as assigned. Help coordinate office and community events.
•may be outside of regular office hours Train new agents on the phone system, office equipment and help them connect their computer to the printer Administrative & Agent Support You will provide logistical support to agents File maintenance: Process and maintain all new listing files, pendings, expirations and cancellations in our online signing program, Dotloop Client communication: send out listing documents and closing notecards
Inventory Management:
Track and distribute Lockboxes, Open House Signs, and custom Agent Name Riders.
Direct Mail:
Execute Bulk Mail campaigns for agent and listing postcards.
Database Management:
Help maintain agents' VIP List in our brokerage CRM system Listing & Digital Marketing You will be the primary engine behind our property visibility, ensuring every listing gets the "VIP" treatment across all platforms. Maintain upkeep and rotation of property listings in front window display
Email Marketing:
Design templated email blasts using Blue Tent.
Social Media:
Create and schedule templated posts for new listings, property milestones, work anniversaries, and client testimonials.
Property Collateral:
Create and update templated property brochures and manage the property listing TV Video loops in the office storefront. Preferred Qualifications 2+ years in office management or marketing coordination (Real Estate experience is a significant plus!). Proficiency with the Google Suite, Canva, social media platforms (IG/FB), email marketing software. Ability to juggle multiple tasks and projects with the day-to-day interruptions of a busy office. Exceptional writing skills, organizational skills and professional phone etiquette. Familiarity with the Park County area is preferred. Why Join Us?
