Position Title:
Loyola Sacred Heart Office Administrator Reports to: LSH Principal Living the charisms of the Jesuits and Sisters of Providence, Missoula Catholic Schools is compelled through Christ's love to serve Western Montana families by providing an excellent Catholic education while forming young people of compassion, conscience, competence and community.
GENERAL SUMMARY OF ESSENTIAL PURPOSE
The LSH Office Administrator provides administrative and secretarial support in the operation of the school in a manner that assures the smooth and efficient operation of the school office. With the primary responsibilities of providing the "first welcoming face" to all who enter Loyola Sacred Heart. The LSH Office Administrator will work closely with the Building Principal, Faculty and Staff in areas of attendance, scheduling, discipline, activities, schedules, health and safety protocols, student and personnel files, and events. The Office Administrator must be adept in working with assorted databases and software programs and be fluent with all Microsoft Office tools. This positions requires punctuality, dependability, ability to multi-task, organization, flexibility, strong people skills, and confidentiality. Major Responsibilities (including but not limited to, under LSH Principal supervision):  Student Data Management o Daily student attendance (track and document all student attendance, provide administration with attendance reports and communicate attendance issues) o Daily Staff attendance (track and document daily staff attendance, including staff planned absences and sick leave documentation) o Student cumulative academic and special records (subject to FERPA) (provide academic reports to administration, including honor roll, failing students, etc., provide transcripts and other academic records upon request)  Teacher Data Management Daily attendance (ensure teachers are inputting attendance in a timely manner and provide attendance reports to administration) o Daily lunch count (ensure teachers are inputting lunch counts in a timely manner and provide counts to the food service staff on a daily basis)  Office equipment and supplies o Procure, inventory, and manage office equipment o Build and uphold maintenance schedules  LSH Office communication o Answer, assist and/or direct phone calls. o Compose and publish official communication  Parent / constituent letters, memoranda, reports, requisitions, etc.  Prepare administrative correspondence for signature o Anticipate and appropriately communicate activities and events. o Prepare and present weekly, monthly, quarterly, and annual reports  LSH Virtus Compliance o Work in collaboration with the MCS business office and LSH administration to ensure that all LSH teachers and staff are compliant with Virtus policy.  Office Culture o Work collaboratively with school administration, faculty, and staff o Uphold the strictest of confidentiality o Establish and maintain a culture of service and support o Present challenges with recommended solutions  Other duties as assigned by the LSH Principal
HOURS- 7
30-3:30 on all school days Summer hours TBD in collaboration and under approval of LSH Principal Principal preapproval needed for hours worked outside of this time frame.
