Mountain Modern Home is a Custom Residential Construction & Interior Design firm serving the
High Country of North Carolina:
Boone, Banner Elk, Blowing Rock and beyond. We are looking for an organized, dependable, and experienced Office Manager to help keep our office, team, and day-to-day operations running smoothly. This is an in-person hourly role, working Monday-Friday 8:00am
  • 5:00pm.
This role supports everything from bookkeeping and payroll to vendors, calendars, client meeting preparation, office supplies, marketing, and events. The right person is proactive, detail-oriented, comfortable juggling different types of tasks, and willing to jump in wherever needed. Responsibilities Include Office & Administrative Support Manage day-to-day office operations Maintain office supplies and equipment Coordinate printer lease reporting and service Order and organize product and design samples Manage mail and general correspondence Keep company and contact addresses updated Manage the conference room calendar and bookings Attend team huddles and assist with follow-up as needed Maintain vendor/subcontractor records, including W-9s and COIs Maintain organized company files and records Greet clients, vendors and visitors Greet and collect information from office walk-ins General Data Entry Accounting & Bookkeeping Receive invoices and route them for approval Prepare and send client invoices, track payments and follow-up as needed Enter and organize receipts Scan and code receipts Maintain QuickBooks records Reconcile bank and credit card accounts Handle basic bookkeeping Process payments Assist with payroll Track sales tax and coordinate filings with accountant Employee & Insurance Administration Maintain employee records Coordinate new hire and employee paperwork Assist with employee onboarding and offboarding Coordinate health insurance administration Maintain general liability and workers' compensation insurance Help manage other company insurance policies Licenses, Memberships & Dues Track and renew annual licenses and certifications Manage professional and company memberships Vehicles Manage vehicle registrations Track mileage Maintain vehicle insurance Coordinate repairs and maintenance Client Support Prepare the office for client meetings Arrange lunches, snacks, and beverages Coordinate client gifts Events & Community Involvement Provide support for company events Coordinate charitable giving and community involvement Assist with the Western Youth Network Christmas Tree initiative Marketing Assist with social media content creation and scheduling Create simple flyers and promotional materials Order branded merchandise Help make use of partner benefits and promotions What We're Looking For Experienced Office Manager, ideally in Construction or similar environment Highly organized and dependable Strong attention to detail Comfortable managing several priorities at once Good written and verbal communication Confident working with numbers, records, and administrative systems Comfortable using QuickBooks and standard office software Willing to take ownership and solve problems Friendly, professional, and helpful with clients, vendors, and team members Marketing experience is a huge plus Pay $23-28/hour based on experience 40 hours per week
