Job Description

The Office Manager will play a critical role at 4 Forty Four. The Office Manager is primarily responsible for the organization, implementation, and coordination of the administrative operations and procedures within the company. This is a full-time, year-round position within the Office team and reports to the Vice President of Finance. 4 Forty Four is a Residential and Commercial Design-Build firm in Blowing Rock, NC.
Key Responsibilities:
Act as the office's primary point of contact Oversee and coordinate the Office Administrator and front desk operations Work closely with the VP of Finance to coordinate financial and administrative processes and ensure accurate, timely communication. Lead monthly office team huddles as a regular touchpoint to share important updates, discuss priorities, address concerns, and keep the office team aligned and on track. Coordinate with our Project Management & Interior Design teams for related bookkeeping and accounting
Organize and Process Payables:
Process weekly payments to subcontractors, vendors, and office providers, as well as recurring monthly and quarterly obligations including Sales & Use Tax, federal estimated tax payments, and employee benefit expenses such as Drawbridge and Mutual of Omaha.
Weekly Timesheets:
Collecting timesheets, inputting data into QuickBooks, and managing and coordinating with Accountants Weekly Invoicing & Budget Report Review Send Weekly Invoices to Clients Receivables & weekly open Invoice Report Monthly Bank, Credit Card, & Vendor Account Reconciliations Bank Deposits & Bank Transfers as needed Prepare the organization for financial audits to get bonded for commercial construction projects Manage trade contractor agreements & insurance certificates from subcontractors Review and manage
Builders Risk Policies HR and Records Support:
Keeping records up to date and supporting onboarding Weekly Maintain the Employee Vacation tracker Monthly Mileage reporting & Mileage checks Update the Vehicle Page and notify the team of renewals Coordinate with head of wellness regarding technology and HR needs
Monitor and Restock Office Supplies:
Monitor inventory, receive requests from team members, and order supplies as needed. Assist with
Office Cleaning & Organization:
Share responsibility for maintaining a clean and organized office, including rotating weekly office clean-up duties with the VP of Finance. Oversee the organization and maintenance of physical and digital files Manage company mail, including retrieving mail from the company PO Box at the local post office daily
Calendar Management & Scheduling Staff Supervision & Training Characteristics and Leadership Desired:
Demonstrates strong organizational, time-management, and multitasking abilities Problem-solving mindset with attention to detail Proficiency in office software (QuickBooks, Microsoft Office Suite, Google Workspace, or database tools). Excellent written and verbal communication skills Relational team player and leader Understand and model the company's positive culture and core values Discernment for private information to be held in the highest level of confidence and sensitivity
Education and Experience:
A minimum of 5 - 7 years' experience in bookkeeping Construction accounting experience preferred Accounting, bookkeeping, business administration, or related education preferred Certified Public Accountant (CPA) license preferred but not required Maintains an active Notary Public commission
