Rosewood Wealth Management is a fast-growing financial planning firm in Hillsborough, NC , committed to delivering an outstanding client experience from the very first interaction. We are seeking a highly organized and process-driven Office Administrator to support administrative, client service, and operational workflows. This role is ideal for a self-starter with a strong background in client service and administrative support who thrives in a detail-oriented, fast-paced, and client-focused environment. You will play a key role in supporting ongoing client needs while ensuring account-related processes are handled accurately and efficiently. Clear communication with clients and teammates, along with a passion for enhancing the client experience, are essential for success in this position. What you'll do: Serve as a friendly, professional first point of contact for clients—both in-person and over the phone Schedule and reschedule appointments as needed; monitor for cancellations or no-shows and help fill openings when possible Support event check-ins and assist with on-site logistics tasks Process ongoing service requests such as beneficiary updates, address changes, and other client or account-related changes, ensuring all documentation is accurate and complete Prepare and submit forms, coordinate signatures, assist clients with basic technical questions, and ensure all documentation meets compliance and recordkeeping requirements Monitor pending requests and proactively follow up with custodians, carriers, and internal teams to resolve issues—including NIGO items—and keep requests moving forward efficiently Keep the CRM (Wealthbox) consistently updated so advisors and team members have clear, current information regarding client activity and account status Facilitate smooth communication between advisors, clients, and operational partners, and identify opportunities to streamline workflows and improve operational efficiency Assist with additional duties and responsibilities as needed to support the team and maintain a high standard of service
What We're Looking For:
Associate's degree required, Bachelor's degree preferred 1+ years' professional experience Demonstrates strong proficiency and confidence working across various platforms and operating systems including Google Workspace Self-starter who takes initiative and works well independently Excellent communication; written and verbal, professional and well spoken Collaborative team player willing to assist others Demonstrates exceptional organizational skills by efficiently managing multiple client requests and prioritizing time sensitive tasks Exhibits meticulous attention to detail and a commitment to accuracy Skilled in building strong, trust-based relationships with clients by providing attentive, personalized service and guidance
