This vital role ensures the smooth and efficient operation of our office environment, providing exceptional administrative support and fostering a welcoming atmosphere for staff, clients, and visitors alike. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, with a passion for maintaining an organized workspace that promotes productivity and professionalism. Duties Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette Operate multi-line phone systems to handle incoming calls efficiently and route messages accurately Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office applications Perform data entry, bookkeeping, and invoicing tasks utilizing QuickBooks or similar accounting software Support calendar management by scheduling appointments, meetings, and coordinating personal assistance tasks as needed Assist with clerical duties such as proofreading documents, preparing reports, and handling correspondence Provide excellent customer service by addressing inquiries promptly and supporting client needs with professionalism and care Skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Excellent typing speed and accuracy for data entry and document preparation Bilingual abilities are highly valued to serve diverse clients and team members effectively Knowledge of office management procedures, including filing systems and office supply inventory control Experience with medical or dental receptionist duties is a plus but not required Demonstrated ability to manage time efficiently while handling multiple responsibilities simultaneously Join us as an Office Administrator to be the backbone of our daily operations!
