Job Overview We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. Responsibilities Oversee daily office operations, ensuring all administrative functions run seamlessly Manage front desk activities, including greeting visitors, handling inquiries, and maintaining a professional reception area Coordinate multi-line phone systems, answer calls promptly, and direct them appropriately with excellent phone etiquette Maintain organized filing systems, perform data entry, and ensure accurate record keeping using tools like Microsoft Office and Google Workspace Handle calendar management for executives and team members, scheduling appointments and meetings efficiently Support bookkeeping tasks using QuickBooks or similar accounting software, including invoicing and expense tracking Provide exceptional customer service and support to clients, vendors, and staff through effective communication and problem resolution Assist with clerical duties such as proofreading documents, managing correspondence, and supporting administrative projects Manage office supplies inventory, place orders as needed, and ensure the office remains well-stocked and organized Support personal assistant tasks when required, including travel arrangements and personal scheduling for executives Experience Proven experience in office management or administrative roles within a professional setting Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry tools Prior experience with QuickBooks or similar bookkeeping software is highly desirable Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Demonstrated customer service skills with a friendly demeanor and professional phone etiquette Bilingual abilities are a plus to support diverse client and staff interactions Previous experience as a receptionist or medical/dental receptionist is beneficial but not required Familiarity with multi-line phone systems, filing systems, proofreading documents, and calendar management tools Join our team as an Office Manager to bring energy, efficiency, and professionalism to our workplace.
