ROLE OVERVIEW
The Dental Office Manager is responsible for the operational leadership and daily administration of a large pediatric dentistry and orthodontic practice. The position is accountable for maintaining efficient office operations, supporting clinical and administrative workflows, developing team performance, monitoring practice metrics, and ensuring established organizational standards are consistently followed. The Office Manager oversees the coordination of pediatric dentistry and orthodontic operations within the assigned location. The position works closely with doctors, clinical leaders, treatment coordinators, patient service representatives, dental assistants, hygienists, and other team members to maintain appropriate patient flow, scheduling efficiency, service standards, and operational performance. The position has authority to direct day-to-day administrative operations within established organizational policies and procedures. Matters involving clinical judgment, provider performance, significant employee relations concerns, policy exceptions, compliance concerns, or decisions outside established authority must be escalated to the appropriate Regional or organizational leader.
CORE RESPONSIBILITIES1.
Office Operations Direct the daily administrative operations of the assigned pediatric dentistry and orthodontic practice. Maintain appropriate staffing, workflow, and operational coverage based on scheduled patient volume. Monitor daily office readiness and ensure the practice is prepared for patient care. Coordinate front-office and clinical workflows to support efficient patient movement throughout the practice. Identify operational barriers and implement corrective actions within established authority. Maintain consistent adherence to organizational policies, procedures, and operating standards. Communicate operational expectations clearly to team members and follow up on identified deficiencies. Escalate operational issues that cannot be resolved within established authority. 2. Team Leadership and Accountability Provide direct day-to-day leadership to assigned administrative and operational team members. Establish clear expectations for attendance, punctuality, productivity, patient service, communication, and workflow. Monitor employee performance and provide timely coaching and corrective direction. Conduct or support performance evaluations in accordance with organizational requirements. Recognize operational or performance concerns and address them promptly. Maintain appropriate documentation of coaching and performance-related matters. Partner with Regional leadership on disciplinary actions, employee relations concerns, and performance issues requiring escalation. Promote accountability across both pediatric and orthodontic workflows. Support cross-training and appropriate utilization of team members based on operational needs. 3. Patient Experience Maintain established patient service standards throughout the practice. Address patient concerns professionally and promptly. Investigate service issues and implement appropriate administrative resolutions within established authority. Escalate complaints involving clinical care, significant dissatisfaction, potential legal concerns, or matters requiring executive involvement. Monitor recurring patient concerns to identify systemic operational issues. Reinforce appropriate communication standards with all team members. QUALIFICATIONS
Required Qualifications Minimum of three years of dental office management, dental practice leadership, or comparable dental operations experience. Demonstrated experience leading and holding employees accountable in a dental practice environment. Experience managing a multi-provider practice or high-volume dental office. Working knowledge of dental scheduling, insurance, billing, collections, and patient account processes. Demonstrated ability to interpret operational reports and practice performance metrics. Strong organizational and time-management skills. Strong written and verbal communication skills. Demonstrated ability to manage competing priorities in a high-volume environment. Ability to maintain confidentiality of patient, employee, financial, and organizational information. Demonstrated ability to address employee and patient concerns professionally. Preferred Qualifications Pediatric dentistry experience. Orthodontic experience. Experience managing a combined pediatric dentistry and orthodontic practice. Experience leading a large dental team. Experience with orthodontic treatment coordination and case acceptance. Experience in a multi-location dental organization. Experience with dental practice management and scheduling software. Experience with recruiting, onboarding, coaching, and performance management.
