Job Description

Executive Assistant and Office Manager Branch Wealth Partners and Plumber Today | Concord NC Full time In office in Concord NC Approximately $70,000 annually Branch Wealth Partners and Plumber Today are seeking a highly organized, proactive Executive Assistant and Office Manager to support our leadership team and keep our shared office running smoothly. This role is ideal for someone who enjoys creating order, protecting leaders' time, communicating professionally, and making sure important details do not fall through the cracks. The right person will take ownership of executive support, office operations, meeting and event coordination, and cross-company follow-through. You should be comfortable shifting between priorities, solving problems independently, and using technology and AI tools responsibly to work more efficiently. Key Responsibilities
  • Monitor leadership email accounts, organize inboxes, identify priorities, draft and send routine responses, and file messages and documents accurately.
  • Manage calendars for members of the leadership team, schedule internal and external meetings, prevent conflicts, include necessary context, and build in appropriate preparation and travel time.
  • Coordinate meetings from start to finish, including invitations, agendas, materials, room setup, technology, catering, notes, and follow-up items.
  • Track projects, commitments, deadlines, and action items; provide clear status updates and follow through until each item is completed.
  • Plan company meetings, client and team events, investor events, and other business functions, including venue, vendors, communications, supplies, and day-of logistics.
  • Arrange business travel, including flights, lodging, transportation, itineraries, confirmations, and schedule updates.
  • Manage day-to-day office operations, including supplies, mail, shared spaces, conference rooms, vendors, files, and general office organization.
  • Prepare, edit, and organize correspondence, presentations, spreadsheets, reports, meeting materials, and other documents.
  • Serve as a professional point of contact for employees, clients, owners, tenants, vendors, and guests.
  • Support communication and coordination between Branch Wealth Partners, Plumber Today, affiliated businesses, and the leadership team while maintaining appropriate separation of records and information.
  • Handle confidential business, employee, financial, client, and leadership information with sound judgment and discretion.
  • Identify inefficiencies, recommend practical improvements, document recurring processes, and assist with special projects that support company priorities. What Success Looks Like
  • Leadership calendars and inboxes are organized, current, and focused on the highest priorities.
  • Emails and requests receive timely, professional responses, and records are filed where the team can find them.
  • Meetings, travel, and events are well planned, with details confirmed before they become urgent.
  • Projects and action items are visible, updated, and consistently closed out.
  • The office operates smoothly, and leaders spend less time managing administrative details.
  • Potential problems are identified early and brought forward with thoughtful solutions. Qualifications
  • At least 5 years of experience as an Executive Assistant, Office Manager, senior administrative professional, or in a comparable role.
  • Excellent time management and the ability to prioritize competing tasks, adjust quickly, and meet deadlines without constant direction.
  • Strong project-tracking skills and a demonstrated ability to follow work from assignment through completion.
  • Excellent written and verbal communication, professional judgment, and attention to detail.
  • Resourceful problem solver who anticipates needs, asks good questions, and brings possible solutions.
  • High level of discretion, dependability, accountability, and comfort handling confidential information.
  • Strong working knowledge of Microsoft 365, including email, calendars, Word or Docs, Excel or Sheets, and PowerPoint or Slides.
  • Working knowledge of AI tools and the ability to use them appropriately for research, drafting, meeting preparation, organization, and workflow improvement while protecting confidential information.
  • Comfort supporting two affiliated companies and shifting between real estate, property management, plumbing services, and general business priorities.
  • Ability to work independently while maintaining a collaborative, service-minded approach. Preferred Experience
  • Experience supporting an owner, CEO, or senior leadership team in a growing small or midsize business.
  • Experience with real estate, property management, construction, plumbing, home services, or a multi-company environment.
  • Experience coordinating executive travel, company events, vendors, expenses, and office operations.
  • Experience with project-management, property-management, accounting, CRM, or field-service software.
