Job Description

Foxhound Plumbing is seeking a qualified candidate for the position of Office Administrator to join our growing team in Garner, NC. As a residential plumbing company and sister company of Shepherd Response, we're looking for someone who is organized, detail-oriented, and eager to help build efficient processes that support our continued growth.
Job Overview:
The Office Administrator will play a key role in keeping daily operations running smoothly by scheduling service calls, supporting our technicians in the field, handling customer communication, and managing billing and permit documentation. This is a highly autonomous role. You'll be trusted to run the office side of the business, make decisions, and keep things moving without waiting for direction. The ideal candidate is exceptionally organized, diligent, and a true go-getter who takes ownership of their work from start to finish. You should be someone who spots what needs to be done and handles it, stays on top of every detail, and takes pride in keeping everything running like clockwork.
Responsibilities:
Answer incoming calls and emails, and serve as the first point of contact for customers Schedule service calls, estimates, and installations, and coordinate technician schedules Enter new jobs, work orders, and customer information into scheduling and tracking software Communicate appointment confirmations, arrival windows, and job updates to customers Prepare and send invoices, process payments, and track outstanding balances Assist with plumbing permit applications and schedule required inspections Track permits, inspections, licenses, and certifications across multiple jurisdictions Place material and parts orders with suppliers as requested and monitor order status Maintain customer records, job documentation, photos, and warranty information Maintain spreadsheets, databases, and internal tracking systems Support day-to-day office operations and help improve administrative processes Adapt to changing priorities, including emergency and same-day service requests
Qualifications:
No degree required Proven ability to work autonomously and take full ownership of responsibilities Exceptional organizational skills and attention to detail Strong accuracy in data entry and recordkeeping Excellent written and verbal communication skills, with a friendly, professional phone presence Strong time management abilities and the ability to prioritize without constant oversight Proficiency with spreadsheets, data entry, and office software Self-motivated with a strong work ethic and the drive to see tasks through Experience in plumbing, HVAC, electrical, or other home service trades is a plus Experience with field service software (such as ServiceTitan, Housecall Pro, or Jobber) is a plus

$45,000.00 - $60,000.00 per year
