Full-Time Salary:
$70,000-$90,000 per year, based on experience Build Great Systems. Support Great People. As we continue to grow, we're looking for an experienced Office Manager to lead our administrative functions, support our team, and help improve the systems and processes that allow our business to operate effectively. This is more than a traditional office administration position. The Office Manager will play an important role in maintaining our business systems, improving processes, supporting employees and managers, and ensuring accurate information flows throughout the organization. About the Role The Office Manager is responsible for the day-to-day administrative functions of the company and for helping maintain the systems and processes that connect our office, accounting, operations, sales, and leadership teams. A significant part of this position involves Aspire , the business management software we use throughout our organization. Previous Aspire experience is preferred but not required . We are looking for someone who is comfortable learning technology, understanding how business processes connect, and becoming an internal resource who can help others use our systems effectively. The Office Manager works closely with and reports directly to our Controller . The ideal candidate is highly organized, detail-oriented, proactive, trustworthy, and comfortable taking ownership. We're looking for someone who doesn't simply complete tasks, but identifies problems, communicates clearly, and helps develop better ways of doing things. Key ResponsibilitiesOffice & Administration Lead and coordinate the day-to-day administrative functions of the company. Support managers and employees with administrative and business-system needs. Maintain organized and accurate company records and documentation. Coordinate administrative workflows between departments. Assist with employee onboarding and offboarding, including administrative and system setup. Administer company technology, including computers, phones, software accounts, and user access. Coordinate office vendors, supplies, and general office needs. Help ensure company policies and administrative procedures are consistently followed. Assist the Controller and leadership team with reporting, documentation, and special projects. Business Systems & Aspire Become a primary internal resource for Aspire Landscape Business Software . Maintain accurate information and administrative setup within Aspire. Support workflows involving sales, estimating, production, purchasing, timekeeping, invoicing, and other areas of the business. Assist employees and managers with Aspire questions, processes, and training. Monitor data quality and identify missing, inaccurate, or inconsistent information. Work with managers to continually improve how Aspire and other business systems are used. Develop and document standardized processes, procedures, and checklists. Coordinate with Aspire support and other technology providers when necessary. Help develop reports and information that allow managers to make better business decisions. Accounting & Payroll Support Work closely with the Controller to support accounting and payroll processes. Work within QuickBooks and Aspire to support accurate financial information and administrative accounting processes. Review timekeeping and payroll information for completeness and accuracy. Assist with accounts payable and accounts receivable processes as assigned. Maintain appropriate documentation and approvals for financial transactions. Assist with reporting and reconciliation between company systems. Maintain strict confidentiality when handling employee, payroll, and financial information. Process Improvement & Team Support Identify administrative bottlenecks and recommend solutions. Help simplify and standardize processes across departments. Follow up with managers and employees to ensure required information is completed accurately and on time. Create documentation, checklists, and procedures for recurring processes. Help train employees on administrative systems and company processes. Identify problems early, communicate them clearly, and help develop solutions. Support special projects as the company continues to grow and improve. What We're Looking For 5+ years of office management, business administration, accounting support, or similar professional experience. Experience managing or administering business software, ERP, CRM, accounting, or other operational systems. Strong computer skills and ability to learn new technology quickly. QuickBooks experience preferred. Aspire Landscape Business Software experience preferred, but not required. Strong Microsoft Office/Microsoft 365 skills, particularly Excel. Working knowledge of accounting, payroll, accounts payable, and accounts receivable processes. Exceptional attention to detail and commitment to accuracy. Strong organizational and time-management skills. Ability to manage multiple priorities and follow tasks through completion. Strong written and verbal communication skills. Comfortable working with employees and managers throughout an organization. Ability to handle confidential financial and employee information with professionalism and discretion. Proactive problem-solving mindset and willingness to take ownership. Experience in landscaping, construction, field services, or a similar industry is a plus. Administrative responsibilities are completed accurately and on time. Aspire is consistently and effectively used throughout the organization. Employees know the correct processes and receive support when they need it. Information moves efficiently between accounting, operations, sales, and leadership. Problems are identified early and communicated clearly. Processes become more efficient as the company grows. Financial and employee information is handled accurately, consistently, and confidentially.
Compensation & Benefits Salary:
