This position will work closely with project management, estimating, accounting, and company leadership to keep both construction-related documentation and general office operations organized and running smoothly. The ideal candidate is someone who takes pride in accuracy, follows through on tasks, communicates professionally, and can manage multiple priorities in a fast-paced construction environment. This is a support role with the opportunity to take on increasing responsibility as the company grows. Key Responsibilities Construction Administration Assist with preparing and organizing construction bid documents and proposals Prepare and maintain subcontract agreements and related documentation Assist with preparation and processing of change orders Assist with preparation and organization of project closeout documents Assist with preparing and processing monthly payment applications Maintain organized project files and documentation Communicate with subcontractors, vendors, owners, and project team members as needed Track outstanding documentation and follow up when necessary Project Management & Estimating Support Provide administrative and project support to project management and estimating staff Assist project managers and estimators with documentation, correspondence, spreadsheets, and other project-related tasks Help gather, organize, and distribute information needed for bids and active projects Assist with maintaining project schedules, records, and other administrative requirements Office & Administrative Support Sort and distribute incoming mail and correspondence Maintain organized electronic and paper filing systems Assist with general office administration and day-to-day office needs Prepare documents, correspondence, spreadsheets, and reports Answer and direct phone calls and emails as needed Assist company leadership and project managers with various administrative tasks Accounting & Accounts Payable Support Receive and organize vendor invoices Print and prepare invoices for payment Match company credit card receipts with monthly statements Assist with entering invoices and other information into accounting software Help maintain accurate records of invoices, receipts, and payments Follow up with owners regarding payment status when necessary Communicate with vendors and subcontractors regarding invoices and payment documentation as needed Additional Responsibilities Perform other administrative, office, project, estimating, or accounting-related tasks as needed to support the company and its operations. Qualifications Previous administrative, office management, construction administration, or accounting support experience preferred Experience in the commercial construction industry is a plus Prior marketing, social media, or content creation experience is a plus, as the company is looking to expand its marketing efforts and become more active on social media Strong organizational and time-management skills Excellent attention to detail and accuracy Professional written and verbal communication skills Ability to prioritize and manage multiple tasks and deadlines Proficiency with Microsoft Office, particularly Outlook, Word, and Excel Comfortable learning and working with accounting and construction management software Ability to work independently while also being an effective member of a team Dependable, professional, and willing to take ownership of assigned responsibilities What We're Looking For The right person will be a team-oriented, organized problem solver who is comfortable wearing several hats. This is an important support role within the company, and we are looking for someone who will take initiative, communicate well, keep things organized, and follow tasks through to completion. Construction experience is helpful, but we are willing to train the right candidate who has strong administrative, organizational, and accounting skills. We are looking for someone who can grow with the company and gradually take on additional responsibility as they become familiar with our operations.
