Responsibilities Manage front desk operations, greeting visitors and directing phone calls using multi-line phone systems with professionalism and courtesy Oversee calendar management and scheduling for meetings, appointments, and events using productivity software such as Google Workspace and Microsoft Office Handle data entry, filing, and record keeping with accuracy, utilizing spreadsheets and word processing tools to maintain organized files Provide exceptional customer service by assisting clients, answering inquiries, and supporting overall client communication efforts Maintain office supplies inventory, coordinate equipment maintenance, and ensure the office environment remains efficient and welcoming Support bookkeeping tasks including basic invoicing and expense tracking using QuickBooks or similar accounting software Perform clerical duties such as proofreading documents, managing correspondence, and ensuring phone etiquette standards are upheld Skills Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Excellent organizational skills with the ability to multitask effectively in a busy office setting Demonstrated experience with office management, including calendar coordination and file organization Exceptional computer literacy with technical proficiency in data entry, typing, proofreading, and productivity software Effective communication skills both verbally (phone communication) and in writing; bilingual abilities are a plus for diverse client interaction Experience with multi-line phone systems, front desk responsibilities, and customer support roles such as medical or dental receptionist is highly desirable Knowledge of bookkeeping practices using QuickBooks or similar software; familiarity with office equipment maintenance is advantageous Strong time management skills with the ability to prioritize tasks efficiently while maintaining attention to detail Join us as an Office Administrator to play a key role in creating an organized, efficient workplace where your skills make a real difference!
