This role is vital in creating a welcoming environment for patients and visitors while ensuring smooth daily operations. The ideal candidate will possess excellent organizational skills, strong communication abilities, and a passion for providing outstanding customer service. As the first point of contact, you will manage front desk responsibilities, coordinate appointments, and assist with administrative tasks to keep the clinic running efficiently. Responsibilities Greet patients and visitors warmly, ensuring a positive first impression Manage multi-line phone systems, direct calls professionally, and handle inquiries promptly Schedule, confirm, and reschedule patient appointments using electronic calendar management tools Maintain accurate patient records through data entry, filing, and updating electronic health records systems Handle billing processes and bookkeeping tasks using QuickBooks or similar accounting software Support office management duties such as organizing supplies, managing inventory, and maintaining cleanliness Provide exceptional customer support by addressing patient questions, verifying insurance details, and assisting with forms or paperwork Ensure effective communication between patients, therapists, and staff through clear phone etiquette and professional correspondence Qualifications Proven experience in office management, clerical work, or administrative support within a healthcare or dental setting Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Familiarity with front desk procedures, multi-line phone systems, and medical receptionist duties Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment Bilingual abilities are highly desirable to serve diverse patient populations effectively Demonstrated customer service skills with a friendly attitude and professional phone etiquette Experience with bookkeeping or basic financial tasks using QuickBooks or similar software is preferred Ability to maintain confidentiality and adhere to healthcare privacy regulations Join our team to make a meaningful difference in patients' lives while advancing your administrative career in a supportive and energetic environment!
