Job Description
Job Summary Bethel Baptist Church Ministries is seeking a highly organized, dependable, and detail-oriented Office Administrator to support the daily administrative operations of our church and ministry. The Office Administrator serves as a central point of administrative support and helps ensure that communication, scheduling, financial processes, records, and day-to-day office functions are handled accurately and efficiently. This position works closely with the Operations Manager, church leadership, staff, ministries, members, and community partners. The ideal candidate is proactive, professional, comfortable managing multiple priorities, and able to work independently while contributing to a collaborative, faith-centered environment. Key Responsibilities Manage incoming phone calls, emails, correspondence, and general office communication. Provide administrative support to the Operations Manager and church leadership. Maintain calendars and assist with church, facility, event, and program scheduling. Assist with payroll administration, payroll taxes, contribution statements, W-2s, 1099s, and other required financial documentation. Process check requests, purchase orders, ministry deposits, and petty cash transactions. Assist with bookkeeping, budgeting, and other financial administrative processes. Maintain accurate membership records, including admissions, dismissals, baptisms, and other membership information. Prepare certificates, resolutions, baptism and dedication documents, and other church recognitions. Prepare meeting minutes, reports, presentations, statistical reports, and other administrative documents. Create, proofread, and publish bulletins, flyers, announcements, and other church communications. Order and maintain office supplies for Bethel Baptist Church Ministries and Bethel Enrichment Center. Assist with church events, programs, and special projects. Maintain organized, confidential, and accurate records. Perform other administrative duties as assigned. Qualifications We are looking for someone who: Demonstrates strong organizational and time-management skills. Has excellent written and verbal communication skills. Is detail-oriented, proactive, and able to manage competing priorities. Demonstrates sound judgment and problem-solving skills. Can maintain a high level of confidentiality and discretion. Can work independently while also functioning effectively as part of a team. Is proficient with office technology and able to learn new software and systems. Has experience with administrative office functions. Is comfortable working with financial information and administrative processes. Is committed to maintaining a professional, safe, and welcoming environment. Understands or is willing to learn church operations and ministry administration.
Preferred experience includes:
Payroll processing, accounts payable/receivable, nonprofit accounting, event coordination, facilities scheduling, human resources, and/or church or nonprofit administration. Those areas all appear in the existing qualifications. Faith & Organizational Alignment Because this position serves within a church ministry environment, the Office Administrator should demonstrate Christian character, servant leadership, professionalism, integrity, and an ability to support the mission and vision of Bethel Baptist Church Ministries. The existing description specifically identifies Christian faith and servant leadership as expectations of the role. Schedule Full-time position. Regular office hours are generally Monday through Friday, with some weekend and special-event responsibilities based on ministry needs.
