The ideal candidate for Office Manager will excel at ensuring smooth workflow between customers, field crews, vendors, and company leadership. You'll be excited to use your organizational skills and responsiveness while facilitating company efficiency using Microsoft 365, Quickbooks, and CRM/Construction Management tools. You'll be right at home in this family-owned business applying your strengths of scheduling, communication, documentation, and basic financial tasks. Your primary responsibilities will include
Project & Job Coordination:
Maintaining project calendars, scheduling site visits, coordinating with subcontractors, and tracking job progress to ensure deadlines are met.
Customer Communication:
Serving as the primary point of contact for clients; handling inquiries, providing updates, scheduling appointments, and supporting positive customer experiences.
Office Administration:
Managing phones, emails, filing systems, digital records, and general office organization.
Vendor & Subcontractor Management:
Ordering of materials, tracking deliveries, maintaining vendor relationships, and ensuring subcontractors receive necessary information.
Financial & Reporting Support:
Processing invoices, receipts, and purchase orders, assisting with budgeting and job cost tracking, and preparing weekly reports for leadership
Compliance & Documentation:
Maintaining contracts, permits, insurance certificates, and job documentation.
Team Support:
Assisting the owner and project managers with administrative tasks, meeting preparation, and workflow coordination.
