Job Summary We are seeking a dynamic and highly organized Office Manager to oversee daily administrative operations and ensure the smooth functioning of our office environment. This role is vital in maintaining efficient workflows, supporting staff, and providing exceptional customer service. The ideal candidate will possess strong organizational skills, technical proficiency, and a proactive attitude to foster a productive workplace. As an Office Manager, you will be the backbone of our administrative team, managing office systems, coordinating communication, and ensuring all clerical functions are executed flawlessly. Duties Manage office operations including supplies, equipment maintenance, and facility upkeep to create an efficient work environment Oversee front desk responsibilities such as greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette Coordinate calendar management and scheduling for meetings, appointments, and events using productivity software and Google Workspace tools Handle data entry, filing, and record keeping with accuracy using spreadsheets. Support bookkeeping tasks including invoicing, expense tracking, and basic financial record management using QuickBooks or similar software Provide exceptional customer support by addressing inquiries promptly via phone or email, ensuring positive client communication Assist with administrative projects such as proofreading documents, managing client files, and supporting personal assistant duties as needed Qualifications Proven experience in office management or administrative roles with strong clerical skills and organizational abilities Proficiency in Google Workspace (Docs, Sheets), and productivity software for efficient workflow management Demonstrated computer literacy with technical proficiency in data entry, filing systems, and general office equipment operation (specifically Open Dental). Excellent communication skills including phone communication, bilingual abilities (preferred), and professional customer service experience Familiarity with multi-line phone systems, calendar management tools, and basic bookkeeping practices. Strong organizational skills with the ability to prioritize tasks effectively while managing multiple responsibilities simultaneously Previous experience in a dental receptionist roles is a plus; personal assistant experience is also valued Ability to maintain confidentiality and demonstrate professionalism in all interactions Join us as an Office Manager to lead our administrative team with energy and enthusiasm!
