We're looking for someone with experience working in a well-run office environment who can bring proven systems, organization, and processes to our company. This is more than a basic administrative position. We are looking for someone who can work closely with ownership, take ownership of office responsibilities, identify areas that need improvement, and help us build efficient systems that will support the company as we continue to grow. This position will start part-time during our slower season and transition to full-time in Spring 2027 as our construction season picks back up. Responsibilities Send invoices and manage accounts receivable Follow up on outstanding invoices and customer accounts Manage incoming calls, emails, and administrative correspondence Organize estimate requests, customer information, and project records Develop and maintain organized office procedures and workflows Help establish systems for tracking deadlines, follow-ups, and outstanding items Assist with insurance, compliance, licensing, subcontractor, and vendor paperwork Maintain organized digital and physical files Assist with bookkeeping and QuickBooks-related tasks Keep ownership informed of outstanding items, deadlines, and issues requiring attention Help identify and improve inefficient office processes Coordinate occasional errands, pickups, and administrative support as needed Provide general office and administrative support as needed What We're Looking For Previous office management, administrative, bookkeeping, or similar experience Experience helping manage or organize an office is strongly preferred Construction, contractor, concrete, or similar industry experience is a plus Strong organizational skills and attention to detail Ability to work independently and take ownership of responsibilities Proactive and able to recognize what needs attention without constant direction Comfortable bringing ideas and recommendations to ownership Strong follow-through and ability to manage multiple priorities Professional phone and email communication skills QuickBooks or similar accounting/bookkeeping software experience is a plus Valid driver's license and reliable transportation Position Details Part-time to start - approximately 15-25 hours per week Expected to transition to full-time in Spring 2027 Shop/office-based position in Fargo Some flexibility in part-time scheduling $28-$32 per hour, depending on experience Long-term opportunity with increased responsibility as the company continues to grow We are looking for someone dependable, experienced, and proactive who wants to become a long-term part of Avery Construction and take ownership of keeping the office side of the business organized and running efficiently.
