The Role The primary focus of this position is to support the human resources department through the management, administration, analysis and action planning of compensation, benefits, HR compliance and the HRIS system. This position serves as a strategic partner to support compensation and benefit strategies to ensure organizational effectiveness. This position works collaboratively with internal and external resources to support the established goals. The Human Resources Manager will deliver high quality services in a manner consistent with the mission and values of the Legacy Retirement Communities and complies with applicable state and federal laws and regulations. Essential Functions Job DescriptionThe Office Manager is responsible for managing the facility's business office including performing general administrative, clerical and bookkeeping tasks. The Office Manager is responsible for the staffing, scheduling, training, etc. of the Receptionist and Driver staff. The Office Manager will deliver high quality services in a manner consistent with the mission and values of the Legacy Retirement Communities and complies with applicable state and federal laws and regulations.
Essential Duties and Responsibilities :
Responsible for hiring, developing and managing the Receptionist and Driver staff to ensure high quality service to residents in a manner that is consistent with the philosophy of the facility. Will perform the functions of a Receptionist and/or Driver if needed. Responsible for all bookkeeping activities for the facility to include preparing accounts payable invoices, auto pay receivables, resident billing and statements including move-in, move-out and transfer information, deposits, maintaining cash accounts, reconciliation of invoices/billings, etc. Create new resident files and maintains resident files and records. Perform clerical functions to include writing correspondence as directed, preparing rent raise letters, compiling statistic information, preparing resident survey information and compiling results, resident and staff meeting minutes, etc. Assist other departments with clerical needs such as typing, sign making, etc. as requested. Create or supervise the creation of the monthly resident newsletter. Assist residents by responding to questions on numerous topics include billing and facility questions. Maintain/program the door code security system and make changes as necessary. Monitor office supplies and postage stamp inventory and order as needed staying within the facility budget. Ensure office equipment i.e. copier, fax, phones, VCTV, etc. are properly working and if not diagnosis issues and request repair assistance. Monitor garage stalls/garages and storage units availability for residents. Participate in the planning of the budget and report to the Executive Director any variance in the monthly budget. Perform other duties as assigned by the Executive Director or other Senior Level Managers.Qualifications:
High school diploma or equivalent required. Post secondary education helpful. Three years of leadership/supervisory experience which includes staffing, budgeting, employee relations, etc. preferred. Computer skills required and preferably in Excel, Access, Publisher, Word, Outlook. High degree of interpersonal relations skills and capable of relating to a variety of people and personalities. Considerable initiative, judgment and leadership skills needed. Strong organizational and time management skills needed. Self-motivation required. Able to work flexible hours, participate in weekend and holiday hours if necessary. Able to think, act and intervene independently in both routine and emergency situations. Able to lift a maximum of 25 pounds and be able to stand, carry, stoop, walk, bend, crawl, reach, kneel, push, pull and twist using good body mechanics in completion of tasks.Working Conditions:
May be exposed to body fluids, infection, odors and disruptive behavior of residents. May be exposed to chemicals/cleaning solutions.Job Type:
